ADMINISTRATIVE ASSISTANT

Aesthetic Dentistry of Manhattan seeks a Dental Administrative Assistant to join our team. Our Dental Administrative Assistant will be a critical member of our office community, handling the office operations, administration, and patient correspondence that positions our patients to receive excellent care. Our ideal candidate will have prior administrative experience, ideally in a medical or dental office, and exceptional attention to detail, strong customer service orientation, and a willingness to learn and grow on the job. This position is a part-time position with potential to grow into a full time position. The position requires approximately 20 hours per week, Monday-Thursday.

Primary Responsibilities:

-Oversee Office Operations

-Prepare our office daily, for patients and staff

-Maintain patient files, insurance correspondence, and medical compliance records

-Organize our office administrative materials

-Oversee and manage our patient care activities

-Coordinate our Appointment Calendar

-Schedule our patients’ appointments

-Ensure our appointment calendar is structured in a way that maximizes our ability to treat our patients smoothly and

efficiently

-Manage Patient Correspondence

-Communicate with current and prospective patients to ensure they have the information they need to make, and keep,

their dental appointments

-Correspond with patients on the financial and insurance details that position them for a smooth dental visit

-Communicate Treatment Plans to our Patients

-With support from our dental team, outline treatment plans for our patients so that they understand the purpose, financial

commitments, and necessary appointments for us to meet their needs as a patient

-Track Our Budget, Finances, and Path to Revenue Targets

-Monitor our accounts receivable

-Maintain revenue reports

Qualifications:

Excellent attention to detail

Strong organization and time management skills

Exceptional oral and written communication

Outstanding interpersonal skills

Consistent customer service orientation

Consistent willingness to learn, grow, and improve

At least 1 year of prior administrative experience, ideally in a medical or dental office.

Experience in Hospitality industry a major plus

Prior experience with financial tracking and accounting strongly preferred but not required

Strong comfort and skill with Microsoft Office Products, Google Office Applications, and Dental Practice Management Software (Dentrix or comparable software)
