Office Secretary/Assistant – Construction Company

We are seeking a dedicated Office Secretary/Assistant to be the front-facing representative and dispatcher for our construction company. This demanding role is vital to our operations, requiring exceptional attention to detail, the ability to multitask without losing focus, and a commitment to keeping projects and key personnel on track.
Key Responsibilities:
Front Desk Operations:
Serve as the primary point of contact for clients, subcontractors, and vendors, ensuring all inquiries are addressed promptly and professionally.
Project Coordination:
Regularly update clients on project progress, addressing concerns and ensuring satisfaction.
Weekly follow-ups with subcontractors and vendors to ensure materials, schedules, and tasks are on track.
Monitor project timelines and milestones to ensure smooth execution.
Administrative Support:
Organize and manage the CEO's agenda, calls, and meetings.
Set reminders and follow-ups to ensure nothing falls through the cracks.
Use tools like DocuSign, Google Sheets, and other software to streamline operations and document management.
Operational Efficiency:
Provide practical solutions and take initiative in solving problems without adding unnecessary burdens to the CEO or project managers.
Maintain a high level of organization and prioritize tasks effectively, even when managing multiple responsibilities.
Key Qualities We’re Looking For:
Attention to Detail: Accuracy and efficiency are non-negotiable. Speed is appreciated, but not at the expense of quality.
Proactive Thinker: Must be able to anticipate needs, think critically, and take initiative without constant supervision.
Excellent Multitasking Skills: Ability to handle multiple tasks simultaneously without losing focus or forgetting key responsibilities.
Construction Knowledge: Familiarity with the construction industry, including terminology and project workflows, is a must.
Tech-Savvy: Proficiency with DocuSign, Google Sheets, and other modern administrative tools.

Compensation:
Starting Salary: $80,000 per year, with room for growth based on performance.
