Position: Office Administrative Staff Member

We are seeking a detail-oriented and motivated Office Administrative Staff Member to join our dynamic team and contribute to the smooth operation of our office.

Job Summary: The Office Administrative Staff Member will be responsible for a variety of administrative tasks to support our chiropractic and acupuncture practice. This role requires excellent organizational skills, strong communication abilities, and a friendly, professional demeanor. The ideal candidate will be adept at multitasking and maintaining a positive environment for our patients and team members.

Position is Part-time with great potential for increased hours and responsibilities after probationary period and training. Hours/Days are semi-flexible but seeking Monday, Tuesdays, Thursdays, Fridays and/or Saturdays. Hours may vary for event days or as needed.

Key Responsibilities:

Communicating with Insurance Companies: Verify insurance details, assist in communication with insurance companies, and understand insurance policies and terminology such as deductibles, out-of-pocket expenses, co-insurance, and more.

Preparation of Exam Rooms: Prepare and maintain clean and organized exam rooms for patient visits.

Taking Vitals: Measure and record patients' vital signs as needed.

Checking-In and Checking-Out Patients: Efficiently manage patient check-ins and check-outs, ensuring a smooth and welcoming experience.

Scheduling Patients: Coordinate and schedule patient appointments, including follow-ups and new visits.

Making and Taking Phone Calls: Handle phone calls professionally, addressing patient inquiries and scheduling needs.

Keeping Up with Email and Voicemails: Monitor and respond to emails and voicemails promptly.

Accepting Payment: Process payments and handle financial transactions accurately.

Inputting Paperwork: Complete and input patient paperwork into our electronic health record system.

Assisting Doctors: Provide support to doctors as needed, including preparing for patient visits and assisting during treatments.

Navigating Electronic Office Management and Health Record Systems: Utilize our electronic office management and electronic health record systems effectively.

Qualifications:

High school diploma or equivalent required; additional education or certification in office administration is a plus.

Previous experience in a healthcare or administrative role preferred.

Strong familiarity with insurance vocabulary and policies, including deductibles, out-of-pocket expenses, co-insurance, and other relevant terms.

Strong interpersonal and communication skills.

Proficiency with office management software and electronic health records. (Will train if the right applicant)

Ability to multitask and manage time effectively.

Professional appearance and demeanor.

Detail-oriented with excellent organizational skills.
