Operations Assistant

Our business specializes in providing a wide range of packaging supplies to meet the demands of Warehouse, Logistics, Distribution, E-Commerce, and Retail Operations. We're looking for a confident and energetic person who can manage various responsibilities across operations, logistics, and inventory management. The ideal candidate is goal-oriented, detail-focused, and thrives in a fast-paced environment. This position offers great potential for professional growth and is crucial in maintaining smooth day-to-day operations to support our continued expansion.
Key Responsibilities
Warehouse and Logistics Coordination
o Coordinate daily with all warehouse locations to ensure accurate inbound and outbound activities
o Manage domestic and international freight shipments
o Process small parcel shipments via FedEx, UPS, and USPS
o Negotiate shipping rates with carriers and book freight
o Handle Proof of Delivery (POD) documentation for each sales order
Inventory Management
o Maintain detailed inventory databases for all warehouse locations
o Reconcile inventory across all warehouse locations
o Source both domestic and international logistics carriers and freight forwarders
Financial Tasks
o Process accounts payable invoices and related documentation for all logistics vendors
General Support
o Assist with special projects as needed
o Provide support to various departments as required
Requirements
Experience
o Minimum of 2 years of experience in operations, logistics, or related fields preferred
Technical Skills
o Advanced proficiency in MS Office Suite (especially Outlook and Excel)
o Experience with spreadsheet design, database navigation, and creating price sheets and presentations
o Familiarity with inventory management systems a plus
Soft Skills
o Exceptional written and verbal communication skills with strong follow-up abilities
o Excellent organizational and time management skills with the ability to work independently
o Strong sense of urgency in responding to orders and client requests
o Solid mathematical proficiency and problem-solving skills
o Exceptional negotiation skills
o Detail-oriented with the ability to multitask efficiently
o Ability to build strong relationships with clients and business partners, representing the company professionally
