Global Experiences Resource and Operations CoordinatorThe Global Experiences Resource and Operations Coordinator is the initial contact for all students to the Global Experiences Office. They are the first advisor with whom our students work prior to selecting their study abroad/away programming. As such, the Resource and Operations Coordinator must know the entire scope of the organization's programs, advise on the menu, and once a selection is made, pass the student to the respective program manager for the program of choice. The Resource and Operations Coordinator must understand all outbound logistics through the application processes and be comfortable speaking with students and offices across campus. The position will remain a daily contact and provide oversight for 4 or more undergrad interns in the Global Experiences Office. The position will also be responsible for GEO social media and promotions/branding of the office, including planning and coordinating promotional events throughout the year, as well as representing GEO in various UCIS/ Pitt Global events and committees. The position will also be the primary contact for daily maintenance and development of the front-facing website and back-end content management system. They will also be responsible for several pages in their entirety to ensure timely upkeep. The Resource and Operations Coordinator will also assist in the facilitation of Global Experiences Office-related agreements and provide support for similar operations and administrative processes.This position works on a hybrid schedule with 3-4 days on-campus and 1-2 remote days per week.Job SummaryPerforms administrative assistant support work of moderate complexity.Essential Functions
Schedules meetings and manages calendars in coordination with others; provides logistical support during meetings and events; records and distributes meeting notes; arranges special events.
Answers phone, takes messages, and transfers callers; provides general information and appropriately answers customer inquiries from walk-ins, incoming calls, and emails.
Performs administrative support activities and department specific technical or operations duties for assigned project with some support from others; serves as liaison between internal and external stakeholders.
Researches and identifies improvements for efficiency and accuracy; participates in the development of new offerings.
Prepares and edits various technical documents, including financial reports, presentation materials, procedural manuals, and high-level correspondence; uses established guidelines and proper formatting; ensures confidentiality of sensitive information and materials.
Makes purchases, collects payments, and verifies billing information; interacts with vendors on quotes and invoicing.
Performs a variety of clerical duties, including updating content on department website, filing paperwork, coordinating travel arrangements, and data entry. Physical EffortLittle physical effort required. Duties are primarily sedentary.
