Office Admin Needed for Small Media Company

We are seeking a highly organized and personable Office Administrator & Client Relations Specialist to join our small Video and Media Production Company. We specialize in branded content for businesses and large international clients along with various live event production needs. In this role, you will be responsible for managing the daily operations of our company, ensuring seamless communication with clients, handling customer service inquiries, building callsheets, managing invoicing, and supporting the overall administrative needs of the business.
Key Responsibilities:
Client Relations: Serve as the primary point of contact for clients, addressing inquiries, resolving issues, and maintaining strong relationships.
Customer Service: Handle phone calls, emails, and other forms of communication with professionalism and efficiency.
Invoicing & Billing: Manage invoicing processes, including the preparation, sending, and follow-up on invoices.
Office Management: Oversee daily operations, including scheduling, coordinating meetings, and ensuring the office runs smoothly.
Administrative Support: Provide administrative support to the team, including document preparation, data entry, and filing.
Errands: a few errands will need to be run every once in a while (servicing equipment and delivering drives to clients via post office).
Problem Solving: Address and resolve any operational or client-related issues that arise.
Qualifications:
Proven experience in office administration, customer service, or a related field.
Excellent communication and interpersonal skills.
Strong organizational skills and attention to detail.
Ability to manage multiple tasks simultaneously and prioritize effectively.
Proficiency in office software (e.g., Asana, Monday, etc) is ideal.
Experience with invoicing and billing
Compensation: Starting rate of $25 per hour. Payment will be made on a bi-weekly basis.
Work Schedule:
Employee's work hours will be 40 hours per week (flexibility with advance notice), with specific work hours to be determined by mutual agreement. Employees may be required to work additional hours as necessary to fulfill their duties or after-hours on occasion.
Paid Time Off (PTO):
Employee is entitled to 5 days of paid time off (PTO) per year. PTO must be requested in advance and is subject to approval by the Company.
