TITLE:

Human Resources Assistant

Exempt contracted position

QUALIFICATIONS:

Associate’s degree in clerical or at least three years of office experience.

REPORTS TO:

Executive Director

PERFORMANCE RESPONSIBILITIES:

Hiring

  • Advertise with County 10, on the CDS Website, and other places deemed necessary for job openings
  • Receive and organize e-mail and hard copy applications.
  • Maintain job descriptions and interview questions in conjunction with administration.
  • Set up interviews
  • Disseminate interview materials to assigned staff
  • Attend all interviews
  • Follow-up after an interview (collect packets, notify unsuccessful and successful candidates).
  • Assist in tracking required Work-Force Services documentation and submit – Not doing
  • Resource for all hires. (assign keys or instruct keys to be assigned, gather HR paperwork, etc)

New Employee Paperwork

  • Submits and reviews employee background checks
  • Submits employee fingerprint cards to Bookkeeper
  • Add new employees to Benefit plan(s) in conjunction with the benefits package.
  • Send cafeteria forms to Hilltop Bank
  • Enroll Staff in Guardian Life Insurance
  • Submit driving records to vehicle insurance
  • Submit driving records to bookkeeper
  • Add new employees to Wyoming Retirement
  • Add new employees to Teladoc and Life Insurance
  • New Hire reporting of all new employees.
  • Create/Update Visiting Therapist Letters

Provide New Staff Orientation – In Conjunction with SpED Coordinator

  • To include DFS rules and regulation, CDS policy and procedures
  • Prepares New Employee employment packets.
  • Provide forms training to professional staff in conjunction with the Special Education Coordinator.

Staff Training

  • Submit training documents to STARS
  • Comply with DFS Rules and Regulations, and submit documentation to DFS during the annual inspection
  • Track CPR Dates

Board of Directors

  • Provide new board members with manuals
  • Prepare and disseminate board packets prior to the board meetings
  • Assist in planning Board events (Welcome Back picnic, etc.) Do not do
  • Attend board meetings, take minutes and transcribe minutes.
  • Keep Official Board Book up to date

Welligent

  • Maintain staff records on Welligent
  • Update professional licenses

Attendance Easy Clocking

  • Track overage hours for non-exempt staff
  • Modify or fix employee time when requested by the employee that they have missed a clock in, or clock out punch
  • Track, PTO, bereavement, professional, Jury duty, and approve requests as per policy in conjunction with administrative staff
  • Track overage and dock time for payroll and submit to the Executive Director monthly.
  • Track FMLA and maternity leave

Professional Leave

  • Arrange motels, airlines, car rentals for professional leave
  • Help Collect information for the final report
  • Collect receipts and training information after staff return from training.

Policy and Procedures

  • Maintain and update in conjunction with the board, SpEd Coordinator, and Executive Director

Update and maintain forms, brochures, handbooks, etc.

Drug screenings

  • Schedule new employee drug screenings
  • Coordinate random drug screenings with Work Wise
  • Keep Work Wise updates on drug pool

General Office Duties.

  • Answer phones
  • Copying
  • Computer Maintenance and troubleshooting
  • Send out and update end of year checklists
  • Track Exit interview paperwork
  • Track internal training of staff, gather all signatures.

CONTRACT TERMS:

Negotiable by Child Development Services of Board of Directors

EVALUATION:

As per Child Development Services policies and procedure.
