Capitol Boat Club is Madison’s only private boat club and the premier boat rental company on Lake Mendota. Since our inception in 2017, we have been proud to offer our members the newest and most well-maintained fleet of boats in Madison. In 2021, we added a separate rental fleet. Now even non-members can experience our beautiful Lake Mendota on clean, new boats with the same impeccable service we offer to members.

Description

The Operations Manager is responsible for managing, overseeing, and ensuring the successful and timely completion of all external facing and background operations activities. This position will share in the responsibility of the day-to-day club and rental operations by acting as the point person and leader for communication, coordination, scheduling, human resources, payroll, billing, marketing, and sales.

The Operations Manager, working collaboratively with the Crew & Fleet Manager (C&F Manager), will report to and work directly with the owner. Because the management team is small, the Operations Manager will have the rare opportunity to impact the direction of the company as a whole. While there are established systems in place that work well, there’s always room for improvement. Suggestions for processes, service offerings, and operations are not just welcome, they are encouraged.

Essential Functions (including, but not limited to):

Year-Round

Providing world class customer service to boat club members and rental/charter guests!This is essential - we have a spotless reputation with our members and guests and it is because our staff is incredibly friendly, helpful, and responsible.

Being the expert and primary point of contact for boat club membership and rental sales.

Responding to calls and emails from boat club members and rental/charter guests in a timely manner.

Initiating, tracking, and processing boat club membership contracts.

Configuring and managing all software systems/applications, including account setup and access.

With support and/or assistance from the C&F Manager:

Developing and implementing processes to improve efficiency in operations and member/guest/crew satisfaction based on their feedback.

Developing and executing service/sales/marketing plans to expand the business.

Actively managing all Capitol Boat Club social media accounts and email lists.

In-Season

Roughly 75% of time will be spent on external facing and background operations activities, with 25% of time spent working at the marina or storage space assisting/supporting the C&F Manager, Crew Members, Charter Captains.

Coordinating with the C&F Manager to schedule tours for potential new members and new member training.

Initiating, tracking, and processing rental/charter contracts and payments.

Working Crew Member and/or Captain shifts if/when needed.

Confirming and processing the weekly payroll and tips.

Configuring and managing all company software systems, including, but not limited to: reservations and booking, employee scheduling, project/task management, payroll, billing, email, social media, and marketing software.

With support and/or assistance from the C&F Manager:

Making safety/cancellation decisions regarding inclement weather/wind by monitoring forecasts and using company decision making guidelines.

Coordinating training for Crew Members and Captains for the season.

Creating and maintaining the Crew Member and Captain schedules.

Confirming and processing daily boat club member invoices.

Assisting the C&F Manager with routine maintenance and/or repairs. Not looking for a boat mechanic, but more of a general “handy” ability.

Assisting the C&F Manager with maintaining the inventory of supplies and equipment needed for daily, weekly, and monthly operations and maintenance.

Assisting the C&F Manager with summerizing, launching and testing all boats prior to the beginning of the season.

Assisting the C&F Manager with hauling out, winterizing, and preparing boats for winter storage.

Covering for the C&F Manager in the event of an absence. The C&F Manager will cover for the Ops Manager in the opposite scenario.

Off-Season

After the boats are in storage or sold, 99% of off-season work is remote.

Taking photos of boats being sold & posting for sale ads.

Researching new boats to purchase for next season.

Working with the C&F Manager to interview and hire Crew Members and Captains for the next season.

Assisting the C&F Manager in completing and/or coordinating repairs to all boats in the fleet. Again, not looking for a boat mechanic, but more of a general “handy” ability.

Various administrative tasks to assist ownerhip’s business operations, including but not limited to:

Conducting research, gathering information, online booking

Data entry & processing

Managing email & calendars

Managing sales & marketing & CRM software

Assisting with organization and management of electronic document systems

What We Are Looking For

We are looking for someone who isn’t afraid to be responsible for the business and become one of the faces of Capitol Boat Club. We need a self motivator. You should be able to determine what needs to be done without being told and comfortable accomplishing that with little oversight.

Required Qualifications

Associates or Bachelors Degree (business related field preferred) AND at least one year experience in a business management or customer service supervisory role OR

High School Diploma AND at least three years experience in a business management or customer service supervisory role.

Ability to lift 40 lbs. and be on your feet for several hours.

A valid drivers license & a reliable, insured vehicle.

Ability to work in the United States without sponsorship for no less than two years.

Required Skills

Strong time management and ability to prioritize without constant oversight and direction. You will have support, but you are a manager.

Ability to solve problems, not just identify them.

Strong attention to detail.

Ability to quickly learn new software & apps and you should already be adept with the Google suite.

Strong written and verbal communication skills.

Handy. As mentioned above, you don’t need to be a mechanic, but you should be able to figure out how to change a battery, fix a loose pontoon gate, check the oil, replace a screw or bolt etc. You should know your way around a hardware store.

Responsible, punctual, reliable, accountable, and just an all around good person.

Now, you're probably thinking “they didn’t say anything about needing to know how to drive a boat…”. You're right. If you have experience, that’s a bonus, but we’ve taught hundreds of people how to drive boats and we will teach you as well. We are looking for a manager first and foremost.

Availability & Start Date

During the boating season (Apr - Oct), availability on weekdays, holidays, and most weekends is required, but most work can be done from a Madison based home office or on the go (but still in Madison). During the off-season (Nov - Mar), the schedule is very flexible with 99%+ of work being remote.

The anticipated start date is April 22, 2024 (somewhat flexible).
