Position Summary

Verax Chemical Co. is a growing small family business. As part of a small team, your input, work ethic, integrity, and love for our customers will have a significant impact on our productivity and success. It also means we all pitch in to sweep the floors, manufacture product or answer phones when there’s a need.

You will be responsible for essential customer and vendor facing functions including order entry, customer service, and purchasing. A successful Office Manager will be an excellent communicator, organized, joyful, courteous, and kind.

Primary Functions

Provide courteous and prompt communication to customers and vendors. (1-3 Hours / Day)

o Monitor orders inbox – replying with order confirmations.

o Answer phones – taking orders, answering inquiries, and directing calls.

Purchasing (1 Hour / Day)

o Order from Vendors to maintain stock levels.

o Track purchase orders to ensure on-time delivery from vendors.

Invoicing (30 min / Day)

o Daily send invoices for sales orders that were shipped.

o Print & Post Purchase Invoices for goods and services received.

E-Commerce Management (Time varies)

o Add Items / details to e-commerce site.

o Manage incoming orders.

o Work with President to develop and create content for new site.

Accounts Receivable (<30 min / Day)

o Process customer payments.

o Collections – follow up with customers on past due accounts.

Assist walk-in customers – retrieve products, write up orders, and receive funds. (30 min / Day)

Manufacturing Planning (<30 min / Day)

o Manage Production Schedule

o Purchasing

Manage Freight Carrier Relationships

Other Potential Functions Depending on Skillset

Design / Marketing

o Produce printed and digital materials.

o Product photography.

o Label production.

Secondary Functions

Maintain / update customer records and files as needed.

Assist with shipping documents as needed.

Assist in Manufacturing as needed.

Assist President and staff on other projects as needed.

Knowledge / Required Skills

Proficiency with Microsoft Excel and Word.

Ability to learn a new software package – Dynamics 365 Business Central.

Strong attention to detail and problem-solving skills.

Exceptional organizational skills with the ability to juggle multiple tasks.

Excellent written and verbal communication skills.

A desire to innovate – to simplify, improve, and create processes.

Experience

High School Diploma.

Minimum two (2) years of relevant experience.

Experience in a manufacturing or distribution environment preferred.
