JOB SUMMARY

Provides administrative support functions for the Division.

MINIMUM QUALIFICATIONS

Three (3) years of office administrative support experience; OR an equivalent combination of related education and experience.

Preference will be given to applicants who are Bilingual in English and Spanish, and requires reading, writing, and speaking both English and Spanish fluently.

It is mandatory that all new hires receive the Tdap (Tetanus, Diphtheria, and Acellular Pertussis) vaccine before beginning employment or provide a copy of their immunization record prior to starting employment. The immunization record must show the vaccine name and date received.

Upon hire, a two-step Tuberculosis skin test will be required. The first will need to be placed prior to starting employment.

ESSENTIAL FUNCTIONS

Provides administrative support for Division leadership, committees, councils, boards, and assigned work groups. Takes minutes during meetings, transcribes documents, and maintains records of actions.

Composes a variety of correspondence, documents, and reports; formats, proos, and edits.

Provides customer service by answering phones, greeting visitors, relaying messages, and distributing forms, documentation, and information.

Maintains calendars and schedules.

Acts as an administrative liaison to other County agencies and external stakeholders.

Prepares and maintains administrative documents including regulations, enforcement files, adjudicative appeals and legal requests for the division.

Serves as Records Coordinator complying with GRAMA and all related policies and procedures.

Develops, maintains, organizes, stores, and monitors reports, correspondence, files, forms, and documents.

Coordinates all aspects of assigned events and meetings.

Collects, researches, analyzes, and organizes materials and information for projects and reports.

Acts as back up support to office clerical staff.

Record and report preparation, maintenance, archiving, and filing

Professional telephone and customer service etiquette

Filing methods and techniques

Mentor administrative support staff

Additional InformationIMPORTANT INFORMATION REGARDING THIS POSITION This position works within the Clinical Services Division with a focus on community outreach, partner communications, schedule management, and organizational responsibilities for the Immunizations Bureau. This position requires frequent travel throughout Salt Lake County. Knowledge of Microsoft platforms (including Outlook, Excel, and Word) is required. Knowledge of Sharepoint and Smartsheets is preferred but not required. Experience in event management and/or community outreach is preferred but not required. The ideal candidate will possess a passion for health equity and accessibility. Work schedule is 40 hours a week. Specific times will vary but may include evening and weekend work depending on outreach program and community partner needs. This is especially needed during June, October, and November. This position can be a hybrid position with partial remote opportunities available, if desired. This position is currently under review and may require a background check in the near future.
