The mission of The University of Texas M. D. Anderson Cancer Center is to eliminate cancer in Texas, the nation, and the world through outstanding programs that integrate patient care, research and prevention, and through education for undergraduate and graduate students, trainees, professionals, employees and the public.SUMMARYPlan, coordinate, and implement designated programs in the department, with emphasis on the Thyroid Cancer Services Program, including translational components. Assist the Faculty Director for Clinical Research and Manager, Clinical Protocol Administration with planning and implementing all initiatives, involving thyroid cancer services activities, financial operations, and strategic planning.Manage compliance materials and coordinate external monitors, documentation, conferences, special events, meetings, and clinical and research programs related to Thyroid Cancer Services. Collaborate with faculty and staff in multiple departments and institutions, including International Thyroid Oncology Group and National Comprehensive Cancer Network (NCCN).Impact the operation of the Thyroid Cancer Program through activities related to financial, compliance, and future program development.JOB SPECIFIC COMPETENCIES1. Thyroid Cancer Services Program Operations/Initiatives (35%)Manage communications and coordinate meetings that support the operations of thyroid cancer services activitiesFacilitate operations and procedures through analysis and recommendation for improvementAssist with stewardship responsibilities to the Patient Travel Fund, as well as identification of potential funding sourcesAssist with planning retreats, workshops, conferences and projectsManage patient education materialsManage communications about Thyroid Cancer Services related conferences, e.g. Endocrine Multidisciplinary Conference, ATC Planning Clinic, and M & M Conference.Coordinate all aspects of assigned departmental Conferences. This includes scheduling both local and national speakers, CME requirements for conferences/meetings and educational events, and logistical support (i.e. schedule meetings for speaker with faculty, schedule rooms and audio-visual equipment, place catering orders, design and distribute flyers, and follow-up with speakers).2. Thyroid Cancer Services Program Coordination (30%)Assist in the planning and operation of the Thyroid Cancer Services Program activitiesCoordinate Core Staff operations, including processing invoices, transfers, purchase authorizations and orders, routine and ad hoc budget reportsCoordinate interview schedules and itineraries for Core Staff recruitment.Schedule meetings and conferences, e.g. Clinical Research Operations Meetings, Endocrine Department Research Meeting.Assist with clinical research record retention, centralized binders, and monitor vetting/scheduling.Identify and communicate funding opportunities, including grant, foundations, and philanthropyCoordinate multidepartment and divisional meetings and conferences to develop and implement the Thyroid cancer services and related initiativesProvide administrative and financial support to assigned faculty and staff. This may include travel arrangements, travel reimbursement, tracking and monthly reporting of faculty PRS spending, calendar management, correspondence composition, CV and FIS maintenance, journal article and manuscript preparation and proofing.Assist with recruitment, orientation, and on boarding of thyroid cancer faculty, and advanced practice professionals.3. Thyroid Cancer Services Program Reports (20%)Gather operational data for the Thyroid Cancer Services Program; assist with identification of opportunities to build upon existing and to initiate new initiativesAssist in coordination and implementation of new initiativesDevelop and distribute routine and ad hoc activity reportsCoordinate the development of documents and meeting materials for routine and special or ad hoc thyroid cancer services reportsVerify compliance with Institutional requirements, guidelines and policies.4. S pecial Projects (10%)Develop and determine priorities and monitor status of special projectsUse independent judgment and complex analysis to gather facts and determine appropriate solutions generally based on experience and department practiceOther duties as assignedEDUCATION: Bachelor's degree in Business Administration or related field.Education preferred: Master's degree.EXPERIENCE: Three years project/program coordination experience. May substitute required education degree with additional years of equivalent experience on a one to one basis.
