Tennessee, Nashville, 37201 Nashville USADescriptionJob Summary and QualificationsThe Contract Administrator supports the strategic goals and objectives for HCA’s rapidly growing department through management of the contract process life cycle. The successful candidate will manage and coordinate cross-functional contract negotiations, conduct contract audits and analyses, define, manage, and report on contract KPIs, maintain the contract database and associated system integrations, compile standard contract reports and respond to inquiries concerning contracts. Additionally, the successful candidate is responsible for working cross-functionally with Leadership, Hospital Facility Leadership, and HCA Legal to streamline the contracting process. As part of the Finance team, the successful candidate will be responsible for supporting all aspects of key initiatives and projects in the area of contract administration.Major Accountability
Coordinate and communicate the entire contract lifecycle, from pre-award to post-execution, for faculty arrangements. This will include cross-functional coordination including HCA Legal, Finance, operations and facility operations/leadership.
Manage all contract projects by organizing in a systematic manner, always knowing the status and next steps for all action items.
Assist with drafting PAWS records and associated contracts for assigned HCA group, division, and/or facility.
Maintain and manage the Fair Market Value (FMV) process, relying as needed on internal and external valuation resources.
Ensure contract templates are updated as needed.
Audit existing contracts to ensure adherence to policies and procedures. Where necessary, assist operations with contract restructuring.
Maintain the contract database and manage integrations.
Establish and enforce clear processes for the involvement of stakeholders in the contracting lifecycle.
Conduct training activities on contract administration processes, IT systems and methods regarding contracts.
Provide operational support regarding contract issues/inquiries.
Regularly initiate follow-up with both internal and external customer contacts to ensure customer satisfaction.
Functional Knowledge
The Contract Analyst & Administrator is a contracting professional with a deep understanding of best-in-class healthcare contract administration processes and has experience working in a matrix environment. In particular the ideal candidate possess the following knowledge:
Strong analytical and project management skills with ability to execute operationally.
An in-depth understanding of legal concepts to act as a trusted liaison between the Legal department and functional areas.
Proven capabilities in strategic and conceptual thinking and planning.
Proven negotiation skills.
Demonstrated knowledge of contract administration and contract auditing.
Be fully conversant with a range of contract administration strategies that can be applied when setting up contracts to achieve optimal results; meeting organizational objectives and preventing risks.
Strong oral and written communication skills as well as excellent interpersonal skills; ability to relate well with all levels of employees and management.
Self-starter with the initiative to take on necessary tasks and issues proactively with minimal direction or supervision
Nature of Impact
The Contract Analyst & Administrator impacts the business primarily along the following dimensions:
Function Development and Competence Building: Support the Director, Contract administration to design, build, and implement the Contract Administration function and ensure facility stakeholders have involvement with, and subsequently adhere to, contract administration best practices.
Risk Prevention: work with Legal and business operations to ensure that contracts minimize risk from both a legal perspective and a business perspective.
Audit/Cost Recovery: as designated by the Director, Contract Administration, audit contracts to identity areas of risk, non-compliance and overpayment against standard. Subsequent to contract audits, manage the process to restructure noted contracts in order to correct deficiencies. Track all savings resulting from contract audits.
Databases and IT systems: manage the contract database as well as integrations with other HCA systems such as: PAWS, Medhub, Jagger (formerly SciQuest) etc.
Standardization: ensure that each facility is improving its use of contract administration common and standardized procedures, IT systems, and contract templates.
EDUCATION & EXPERIENCE:
Minimum Bachelor’s degree from an accredited college or university or equivalent combination of experience and/or education required.
Preferred: Master’s degree from an accredited college or university or equivalent combination of experience and/or education is required
Minimum of 3 years of healthcare experience or an equivalent combination of experience and education is required.
