The last day to submit an application is October 11, 2024.Position Summary:The Associate Director, Facilities & Maintenance is responsible for overseeing and supporting the overall maintenance and upkeep of the site in all facets of facilities and events. This includes, but is not limited to: Exhibit maintenance, daily upkeep of public site areas, repair and maintenance of building systems and fixtures, general landscaping, custodial care of offices and restrooms, safety scope of work, and special projects as needed. This also includes managing related vendor and contractor relationships. The role will be responsible for managing facilities, custodial, and AV technician role(s) including hiring, developing, overseeing, performance reviews and corrective action up to and including termination.Key Responsibilities:Management:
Lead and manage a team of up to seven facilities staff including two AV staff to run events and special functions, two custodians, one facilities specialist, one repair and maintenance technician.
Oversee all aspects of their work.
Management duties include hiring, developing, overseeing, performance reviews, corrective action up to and including termination.
Support the training of custodial staff for annual Halloween Nights fundraiser.
Understands and adheres to Collective Bargaining Agreement policies.
Project & Vendor Management:
Manage contractor and vendor relationships including but not limited to portable restrooms & trailer, dumpsters and trash removal, HVAC, pest control, plumbing, snow removal.
Develop, update, and communicate project and/or daily schedules and workflows.
Develop and document protocols and procedures for safety and best practice related to facilities and maintenance activities. Train staff in such procedures.
Collaborate with other departments to balance priorities, scope, and expectations, especially when related to events and special functions.
CMMS Administration:
Responsible for all aspects of managing and maintaining the CMMS system (Eastern State uses a service called FMX), making sure the system is current and up to date.
Develops and maintains a training plan to share with all employees who use the CMMS.
Conducts training for all new CMMS users in the organization.
Primary point of contact with CMMS Account Manager.
Other:
Employ sustainable strategies to encourage reuse of materials, environmentally responsible disposal of materials, and sourcing of new materials.
Support shop manager and human resources in record-keeping activities related to site safety and staff training.
Contribute to a clean and safe shop space by following practices for proper storage of materials and equipment.
Provide hands-on support and/or expertise to repair and maintenance projects as needed.
Required Skills/Abilities
Knowledge of construction, warehousing, building codes, ADA, Computerized Maintenance Management Systems (CMMS) and safety requirements for workshops and public spaces required. Must be able to read and interpret blueprints. Knowledge of electrical/electronic wiring and design. Knowledge of pneumatics and associated controls. Must be competent in using a variety of hand tools. Problem solving skills, careful planning, multitasking, and time management skills are most critical. Excellent written and verbal communication skills and a firm understanding of Microsoft Office programs are required.
Must be self-motivated and organized. roactive problem solving is a must. Must be able to maintain full confidentiality of all conversations, data records, files and other information where access is limited. May be required to work occasional early morning, weekend or late-night shifts.
Education and Experience
Education / years & type of experience:Bachelor's Degree in Facilities Management a plus or equivalent work experience. Must have working knowledge and ability to work with machinery. Has experience managing and prioritizing facilities tasking and workflows.
Certifications, Licenses, Credentials:Maintain a valid Driver's License. Must become certified in forklift operation. Must have or complete upon starting OSHA 30 certification.
Knowledge of ADA, building codes and safety requirements a must.
Physical Requirements:
While performing the duties of this job, the employee may be regularly required to stand, sit, talk, hear, reach, stoop and use hands and fingers to operate a computer, telephone, and keyboard.
Ability to lift and/or carry objects that weigh up to 50 pounds.
Ability to wear a respirator for inspection and maintenance tasks.
