The Pre-Construction Coordinator is primarily responsible for scheduling jobs, preparing documentation for each home, liaising with designers and customers, and distributing selection information. An ideal candidate will be highly organized and detail-oriented, with experience in customer service and residential interior design and construction. Successful candidates will demonstrate an eagerness to pursue continued personal growth with a strong team mentality. Collaboration with outside vendors and partners will be integral to the role.

Scheduling and Administration:

-Completion of Earth Advantage project submittal worksheets

-Updating permit lists, address lists and completion dates (distribute weekly)

-Scheduling jobs with JobTread

-Ordering water meters, backflow tests, and temp power

-Generation of new forms when needed

-Sourcing safety meeting topics and distribution to the team

-Assist CFO/HR Vendor by keeping OSHA 301 form up to date

-Run quarterly safety committee meetings, provide relevant documentation for OSHA

-Filing plans and job folders coming back from job site

-Notary services

-General administration, assisting other co-workers with data entry, printing documents, answering phones, drafting documents

Selections and Upgrades:

-Upgrade liaison and builder representative for customer selections

-Review and guide spec selections

-Completion and distribution of start packets

-Completion and distribution of upgrade packets

-Contractor notification for upgrades

-Compilation of thumb drive files

-Coordinate registration of HVAC systems with QA Director

-Maintain check registry and check images for all homes

-Send realtors “realtor pack” for each home in a timely manner (upgrade paperwork, checks, selection paperwork).

Design:

-Tracking all exterior paint and stone choices (and exterior lights)

-Choosing paint selection and light packages for spec homes

-Communicating to design vendors of buyer selection process dates and deadlines

-Ordering paint sample cards

Preferred Qualifications

-Associate’s degree, Vocational Schooling, or other relevant training

-2+ years of customer service experience

-2+ years of experience in construction or interior design

-Understanding of “green” building practices or ability to quickly learn

-Must complete Sustainable Homes Professional course or equivalent in first 90 days

Compensation for this position is based on experience and performance. We offer a full benefits package including medical/dental/vision/disability/life, 401K, vacation, and holidays.
