Law firm located in Midtown, Manhattan is searching for a temp-to-perm Receptionist/Office Assistant to join the New York office. This multi-faceted position will offer the candidate opportunities to engage in several aspects of the firm's operations. The Receptionist/Office Assistant would answer phones, greet visitors, book conference rooms, provide administrative support for all firm personnel, work closely with hospitality and facilities personnel, and provide ongoing support to the HR/Operations Manager. This position will start ASAP before September 2024 and require 5 days on-site from 9am-6pm with eligibility for overtime as needed.The ideal candidate is customer service-oriented, with excellent communication skills and a can-do attitude. The individual should be comfortable working in a fast-paced environment and capable of effectively prioritizing and processing multiple tasks. They are looking for someone who is committed to the front desk of a busy law firm!Responsibilities:Welcome and greet guests; be attentive to everyone who enters the firm offering a customer/client service atmosphereAnswer and transfer phone calls; take and communicate messagesCoordinate all front-of-house activities including but not limited to greeting visitors, consulting with building management, working closely with the facilities coordinator and catering coordinator to effectively manage all day-to-day, weekly, monthly internal and external meeting activitySupport internal and external events, meetings, appointments, conferences, travel arrangements, expenses, and cateringMaintain schedules and calendars of all office activities and provide a daily update to all assistants and staffAccepting and logging deliveries from couriers and caterers and notifying appropriate individualsRespond to ad-hoc requests and assist where neededMaintain office filing systems related to the NY Reception/Office Assistant tasksOperate conference room technology to ensure technology works effectively with conference room bookingsOperate standard office equipment, such as switchboard phones, computers, copiers, postal machines, fax machines, etc.Communicate and coordinate the division of tasks and responsibilities with the HR/Ops Manager, facilities coordinator, catering coordinator, assistants, secretarial staff, paralegal staff, and any other support staffMaintain physical presence at reception desk and reception area of the New York officeAssist and/or direct with the set-up and clean-up of conference and meeting roomsAssist with maintaining general firm office and pantry suppliesAssist with maintaining and general up-keep of all firm common areasDesired Qualifications, Skills & Experience:BS/BA degree preferredProven track record as a Receptionist or Office Assistant in a law firm or financial services preferredIntermediate / expert proficiency in standard document processing software, such as Office365, Calendaring, Video Conferencing (Webex/Teams) and AdobeStrong verbal, written communication, and technical skillsExcellent organizational skills and attention to detailAbility to take initiative, complete projects independently and juggle multiple prioritiesHighly selfmotivated, energetic, selfstarter, flexible attitude, adaptable team playerCompensation/Benefits: 65-85K Base + Discretionary BonusGreat benefitsBeacon Hill is an Equal Opportunity Employer that values the strength diversity brings to the workplace.
