We are seekin a full timeg a detail-oriented and organized Bookkeeper/Office Assistant to join our teamThe ideal candidate will be responsible for managing the day-to-day accounting and administrative functions of the office and providing exceptional service to our guest house visitors. This position requires a high level of accuracy, efficiency, and confidentiality. Knowledge of French language a plus
Key Responsibilities:
1Bookkeeping:
- Maintain accurate financial records and ensure all financial transactions are properly recorded.
- Process accounts payable and receivable, including invoicing and payment collections.
- Reconcile bank statements and credit card accounts.
- Prepare and process payroll.
- Assist with the preparation of financial statements and reports.
- Manage the general ledger and ensure compliance with accounting principles.
- Handle tax-related tasks, including sales tax filings and end-of-year tax preparation.
2Office Assistance:
- Perform general office duties such as answering phones, managing emails, and greeting visitors.
- Maintain office supplies inventory and place orders as needed.
- Organize and schedule meetings and appointments.
- Prepare and distribute correspondence, memos, and reports.
- Assist in the preparation of regularly scheduled reports.
- Maintain a filing system for both paper and electronic documents.
- Provide support to other team members as needed.
3Guest House Management:
- Greet and welcome guests upon arrival.
- Manage guest house reservations, check-ins, and check-outs.
- Ensure guest house facilities are clean, well-maintained, and fully stocked.
- Handle guest inquiries, complaints, and requests promptly and professionally.
- Coordinate with housekeeping and maintenance staff to ensure guest satisfaction.
- Maintain records of guest stays and manage billing and payments.
Qualifications:
- Proven experience as a Bookkeeper or Office Assistant.
- Proficiency in accounting software (e.g., QuickBooks) and MS Office Suite (Excel, Word, Outlook).
- Strong understanding of basic accounting principles.
- Excellent organizational and time management skills.
- Strong attention to detail and accuracy.
- Ability to handle sensitive and confidential information.
- Strong communication skills, both written and verbal.
- Ability to work independently and as part of a team.
- High school diploma required; Associate's or Bachelor's degree in Accounting, Finance, or a related field preferred.
- Experience in hospitality or guest services is a plus.
