Assistant Project Manager (Environmental Consulting)

We are urgently hiring a dynamic and proactive Project Manager Assistant to support the setup and ongoing operations of our new office in Millburn, NJ. As part of our environmental testing services company, you will play a vital role in establishing operations and contributing to the recruitment of local talent passionate about science. This is an excellent opportunity for someone who thrives in a hands-on role and enjoys contributing to multiple facets of project and office management.
Key Responsibilities
Office Setup & Organization: Assist with the physical setup of the office, including assembling furniture, setting up equipment (computers, cameras, video systems), and organizing workspaces.
Procurement & Logistics: Coordinate the ordering and delivery of office supplies, furniture, and other necessary materials, ensuring everything is on time and in place.
Operational Support: Handle tasks such as unpacking, organizing, and arranging office items, ensuring the office layout is efficient and functional.
Project Coordination: Assist in measuring and planning office layouts, working closely with management to optimize space usage.
Compliance & Documentation: Support registration and documentation for licenses, permits, and other regulatory requirements.
Vendor Management: Serve as the point of contact for vendors and service providers, coordinating installations, deliveries, and ongoing services.
Inventory Management: Maintain an organized inventory of supplies and equipment, ensuring availability and proper stock levels.
Local Talent Recruitment: Assist in recruiting and onboarding local employees, particularly those with an interest in science, and support their development in the field of environmental testing.
Team Support: Provide administrative assistance to team members and handle ad hoc tasks as needed.
Qualifications
Experience in office administration, project coordination, or a related field, preferably in environmental or technical industries.
Strong organizational skills with the ability to multitask effectively.
A proactive, hands-on problem-solving mindset.
Ability to handle light to moderate lifting as needed.
Proficiency in office software (Microsoft Office, Google Workspace).
Basic technical knowledge of setting up computer and video equipment is a plus.
Excellent communication and interpersonal skills to effectively collaborate with internal and external stakeholders.
Passion for science or experience in a scientific field is highly desirable.
