Posting Summary Rutgers School of Dental Medicine (RSDM) is seeking a Sr. Support Administrator for the Department of Oral and Maxillofacial Surgery.The Sr. Support Administrator provides advanced confidential administrative and management support within department/administrative offices of the University. This position exercises considerable discretion and independent judgement, coordinates projects, correspondence, report, and fiscal procedures for the department and provides high level support for administrative and secretarial staff. This position has administrative responsibility in fiscal matters, purchasing, and personnel administration. The Sr. Support Administrator develops and implements plans and procedures to ensure efficient operational and administrative systems are maintained.Among the key duties of this position are the following:Plans and schedules the work of the section to make maximum effective utilization of employees, equipment and material within budgetary requirements.Coordinates the activities of secretarial/clerical staff within the department.Provides high level support for all office operations including forms, secretarial/clerical work, space and office equipment, internal reporting systems, etc.Supervises the development and maintenance of the department's recordkeeping, filing and retrieval systems.Assists administration with onboarding of new faculty/employees. Schedules registration for dental school's electronic system training. Provides credentials to dental school financial coordinator to enroll faculty in various insurance carriers.Maintains time and attendance records for faculty/employees. Interacts with the Department of Human Resources regarding personnel matters.Coordinates fiscal procedures with the unit. Ensures that expenditures are in accordance with the allocation of funds.Prepares budget recommendations, documenting previous expenditures, compiling necessary data and preparing justifications for projected expenditures.Maintains knowledge of University and Department's policies and procedures.Serves as liaison between department administrative units, and initiates correspondence related to these functions.Independently handles projects as assigned, such as grants management, marketing and media programs, recruitment activities, etc.Performs other duties as assigned.
