Receptionist Position

Full-time

We are currently hiring for a full-time position in a busy well-respected law firm. Candidate will need to have exceptional organizational, computer, filing and phone skills. Must be dependable and able to work independently, perform multi-tasks, and be detail oriented. The ideal candidate will provide crucial support to our Attorney, Office Manager/Paralegal and Legal Assistants, ensuring smooth daily operations and exceptional client service.

Experience in the legal field, proficient in Word, Word Perfect preferred. Minimum of two (2) years’ experience in a law office/field or as a receptionist who is also bilingual Spanish speaking which is required. High school diploma or equivalent experience required.

Tasks include but are not limited to:

Candidate must be available Monday-Friday 8am-5pm.

Candidate must be friendly, professional, punctual, and must have reliable transportation.

Must have excellent customer service skills and be able to communicate effectively with clients, colleagues, and others on the team in a professional and respectful manner.

Must possess excellent organizational skills, follow-up abilities and strong organizational skills with attention to detail.

Ability to manage multiple tasks and prioritize effectively.

Must be able to work in a fast-paced environment and be able to multi-task.

Must be able to work independently with little supervision.

Answering phones: Answering a multi-phone line and making phone calls to clients and other professionals, forwarding calls to the right person, and taking messages in a professional manner.

Answer and respond to client phone calls and messages, ensuring timely and accurate communication.

Provide administrative support such as scheduling and confirming appointments and maintaining calendars.

Maintaining office supplies: Checking inventory, creating list for supplies.

Managing mail: Receiving, sorting, and distributing mail and packages.

Maintaining the reception area: Keeping the reception, conference room, common work areas and break room clean.

Managing incoming and outgoing office correspondence, sending and replying to emails.

File Management: Maintain accurate and up-to-date physical and electronic files, as well as case notes, to ensure proper documentation.

Performing clerical tasks: Faxing, copying, filing, sending documents.

Must have excellent computer skills including Microsoft Office (Word, Excel, Outlook).

Assisting Staff: Provide general administrative support to the Attorney, Office Manager/Paralegal and Legal Assistants.
