Provide comprehensive and advanced administrative support primarily for the Vice President (VP) Human Capital, Chief of Staff, and other administrative support. The Executive Assistant will work independently; must be able to handle a wide variety of activities and confidential and sensitive matters with discretion. Provide comprehensive professional support as assigned.

Act as a liaison between the Executive and community by ensuring external board obligations are met, events, and meetings are scheduled and any conflicts are managed in a professional manner.

Coordinate the completion of materials for the Board and submit them on time and with high quality.

Efficiently coordinate all travel needs and details. (domestic and international)

Manage all scheduling needs and calendar. Ensure all appointments, meetings, and events are coordinated accurately and the associated materials are prepared and ready.

Coordinate involvement in community events, speaking engagements, company meetings, and communication needs/requests.

Collect and compile data/information for the development of reports, presentations, etc.

Perform other routine administrative duties as needed.

Maintain a high level of confidentiality in all aspects of support.

Any other administrative duties that may be required.

Plan and organize events.

Schedule and prepare any and all materials and presentations for Town Halls.

Schedule and coordinate all Leadership offsite team meetings.

Plan for, coordinate and conduct all event planning activities for annual events.

Responsible for budget preparation, input, and variance monitoring for all departments.

Coordinate budget reporting for inclusion in Corporate Operating Plan utilizing Corporate Budget Services guidelines, and monitor expenditures throughout the year.

Provide scheduling coordination for assigned OPPD facilities.

Qualifications

Required:

High School diploma/GED equivalent and seven (7) years of related experience or bachelor’s degree.

(5) years of administrative experience at the executive level.

Demonstrate excellent interpersonal, verbal and written communication skills.

Knowledge of OPPD operations and policies.

Maintain a high degree of confidentiality.

Demonstrate tact and sensitivity when communicating with Directors, customer-owners, employees, utilities and other businesses.

Proficient with Outlook, Word, PowerPoint, Excel, PeopleSoft and Asset Suite systems.

Work independently.

Exceptional organizational skills, problem solving skills, and flexibility in changing priorities

Desired:

Board material processing experience

Familiarity with general budget procedures

Working knowledge of or familiarity of the following computer systems: Asset Suite, PeopleSoft, MS Visio & MS Access and basic knowledge or familiarity of accounting principles pertaining to vendor payments and contracts.
