Job Title: Executive Assistant (Remote & On-Site)
Location: Flexible; remote work with regular on-site visits (Twin Cities and Surrounding Suburbs)
Position Overview: Join a dynamic and growing general contracting and property management company as an Executive Assistant, where you will work closely with our President in both remote and on-site capacities. Key Responsibilities:
Permitting & Compliance: Apply for building permits, manage ProjectDox processes, and maintain compliance through collaboration with city officials.
Utility Management: Handle the setup and management of utilities (gas, electric, water, trash) for new projects.
Collaboration: Work alongside engineers, designers, and architects to ensure project requirements are met with precision.
Vendor & Supplier Coordination: Secure estimates, manage supplier relationships, and ensure timely procurement of materials.
Mail Management: Organize and prioritize the President’s personal and company correspondence.
Bill Payments: Ensure timely processing of payments and manage financial records.
Scheduling: Coordinate and manage trade partners, appointments, and project timelines.
Communication: Act as a key point of contact, handling emails and communications with professionalism.
Insurance Management: Manage insurance policies, including builder risk and landlord policies.
Financial Tasks: Handle draw requests, invoicing, and lien waiver preparation.
Payroll Management: Oversee payroll operations to ensure accuracy and timeliness.
Property Management: List properties, manage tenant applications, execute leases, and coordinate maintenance.
Project Management Software: Utilize Buildertrend for construction management tasks and Buildium for rental management. You’ll be responsible for tracking project progress, managing tasks, and maintaining schedules across both platforms to ensure seamless operations.
Procurement: Order materials and occasionally pick up supplies as needed.
