Our client, an accounting firm located in Wakefield, MA is seeking an Administrative Assistant to join their team on a temporary to permanent basis. This role will be integral in providing general office duties, audit support, and assistance to various departments within the organization. This role is compensating $25/hour and will consist of a Monday-Friday 9am-5pm schedule on site.Key Responsibilities:Format, proof, finalize, and distribute firm documents in accordance with established guidelines and quality standards.Provide support to the audit department with binding financial statements, ordering confirmations, and other related tasks.Book travel and conferences for staff members.Track and manage office, kitchen, and stationery supplies, placing orders as needed.Answer phones and greet clients and vendors in a professional manner.Handle mail delivery and distribution, including daily trips to the post office.Assist with meal ordering during tax season.Ensure common areas and kitchen are clean and well-organized.Enter daily receipts in QuickBooks and the billing system.Scan and save documents to the appropriate files.Assist with general office administration and provide support to executives and staff as needed.Support the accounting department by submitting confirmations, tracking them, adding watermarks over PDFs, sending documents, and requesting signatures.Required Skills and Qualifications:Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).QuickBooks experience is a plus.Minimum of 5 years of office administration experience.Strong attention to detail and ability to follow quality control standards.Ability to manage multiple tasks efficiently in a fast-paced environment.Strong organizational and time-management skills.Ability to work both independently and as part of a team.Excellent communication skills, with a professional and friendly demeanor to greet clients.Mature, reliable, and possess a positive attitude.Ability to handle high-pressure, high-volume work situations effectively.How to Apply:If you are a motivated, reliable, and detail-oriented professional who thrives in a team-oriented environment, we encourage you to apply today!
