Our client, a life insurance company in Needham, is seeking a Temporary Administrative Assistant to cover a maternity leave. This role is supporting 3 Executives with calendars and general office support. This role can pay between $24-28 based on experience and is Monday through Friday 8:30 am to 5 pm.RESPONSIBILITIESMarketing SupportPrepare agenda and be an active participant at weekly marketing meeting to provide follow up andorganization for items discussed.Coordinate all marketing events in conjunction with Director, Advisor Relations, and assurecoordination of in-office meetings.Sales SupportAssist in preparation of materials for all sales and service appointments in coordination with PlanningTeam.Create and maintain Cases in Progress and Originals files.Work in conjunction with Partner in Charge of Operations & Client Services to prepare mid-year andyear-end sales review materialsAdministrative SupportSchedule client and advisor appointments/calls for Producers and Director, Advisor Relations asneeded.Field Producer, Director, Advisor Relations and other Senior Leadership phone calls when out of theoffice and attempt to facilitate response; email screening as requested.Schedule and coordinate all aspects of business travel. Prepare daily agenda with relevantinformation. Coordinate schedule with outside advisors, clients, prospects, etc.Coordinate meetings with carrier representatives in conjunction with Partner in Charge of Operations& Client Services.Establish procedure for consistent follow up after all sales and marketing appointments: Follow upwith producers regarding meeting memos, prepare and distribute memos, prepare follow-upcorrespondence for review by Producers and Director, Advisor Relations.Establish and maintain updated client and advisor information in CRM systemsPrepare weekly activity summaries for review by Partner in Charge of Operations & Client Services.Prepare Producers' and Director, Advisor Relations' monthly expense reports.Agent LicensingObtain and maintain State issued corporate and individual insurance agent licensesObtain and maintain insurance carrier contracts/appointmentsRecord all current licensing information in Smart Office.Reception & Office Space SupportProvide front-door coverage to receive and route visitors and phone callsOpen and distribute mail daily; receive/send express and other packagesEnsure reception area and conference rooms are maintained in a clean and orderly manner.Act as liaison to building management companyMaintain office telephone systemOrder and replenish office and general suppliesOtherProvide administrative support to other associates of the organization as needed.Special Projects and other duties as required by Leadership.Beacon Hill is an Equal Opportunity Employer that values the strength diversity brings to the workplace.
