Job Description:

As the Office Manager/Bookkeeper, your primary responsibility will be managing our day-to-day accounting duties, including accounts payable and receivable, running reports, cash flow tracking, and job costing. You will also assist the Production Manager with scheduling and other office production duties and handle overall office management to ensure a smooth and efficient work environment. Proficiency in QuickBooks Desktop is a must.

Key Responsibilities:

Bookkeeping:

Maintain accurate financial records, including accounts payable and receivable, general ledger entries, and bank reconciliations.

Process invoices, expense reports, and payroll in a timely manner.

Prepare and submit financial reports, including monthly, quarterly, and annual statements.

Track cash flow and manage job costing to ensure financial efficiency.

Assist in budget preparation and financial planning.

Ensure compliance with all relevant regulations and company policies.

Work with external accountants during audits and tax preparation.

Production Support:

Assist the Production Manager with scheduling and coordinating ongoing projects.

Help manage project timelines and ensure resources are allocated effectively.

Provide administrative support for production-related activities.

Office Management:

Oversee daily office operations, ensuring a well-organized and efficient work environment.

Manage office supplies and inventory, ensuring necessary materials are always on hand.

Coordinate and schedule meetings, appointments, and events.

Handle incoming and outgoing correspondence, including emails, phone calls, and mail.

Maintain and organize company files and records, both physical and digital.

Qualifications:

Proven experience as an Office Manager, Bookkeeper, or in a similar role.

Proficiency in QuickBooks Desktop is a must.

Strong knowledge of bookkeeping and accounting principles.

Proficiency in accounting software (e.g., QuickBooks) and MS Office Suite (especially Excel).

Excellent organizational and time-management skills.

Strong attention to detail and accuracy.

Ability to multitask and prioritize tasks effectively.

Excellent communication and interpersonal skills.

Ability to work independently and as part of a team.

High school diploma required; additional qualifications in Office Administration or Accounting are a plus.

Pay: $50,000.00 - $65,500.00 per year
