We are a small, family-owned wholesale distributor of retail/convenience store type products. We are seeking an Office Administrator to serve as a primary point of contact for our customers. The Office Administrator will support all administrative activities to ensure that our office is running smoothly and efficiently.

Responsibilities:

1. Manage customer orders, ensuring timely receipt, entry, response, and delivery. This includes receiving incoming calls, emails, faxes, and making outbound customer calls (NOT a sales call/cold calling)

2. Help walk-in and pickup customers with transactions

3. Accounts receivable including check and cash receipt, preparing and processing bank deposits, reconciling outstanding balances

4. Process customer returns

5. Assist with maintaining accurate client files, ensuring that paperwork is stored in the appropriate location

6. Make photocopies and scan documents as needed

7. Provide other administrative support as necessary, including providing administrative support as needed to other departments, conducting research for special projects, and creating reports

8. Some order picking in warehouse (primarily for training)

Qualifications:

1. Team-oriented attitude – shows initiative and willingness to help fellow staff members

2. Superior organizational skills and the ability to multitask

3. Experience interacting with staff and the general public in a professional, courteous, and customer-service-oriented manner

4. Comfort and familiarity with speaking on the phone

5. Excellent written and oral communication skills

6. Ability to work in a fast-paced environment with competing priorities, responding to requests in a timely manner, and staying flexible with a rapidly changing environment

7. Knowledge of Microsoft Office (Excel, Word, Outlook) is a plus

8. Knowledge of office systems and processes is a plus

9. Ability to safely lift up to 40 lbs (roughly a case of 20oz soda)

Schedule: The schedule below has some flexibility for the right candidate.

Mon – 8:30am to 12:30pm

Tue – 8:30am to 12:30pm

Wed - 8:30am to 12:30pm

Thu - 8:30am to 12:30pm

Fri - 8:00am to 12:00pm

Job Type: Part-time

Pay: $19.00 - $19.75 per hour

Expected hours: 20 per week
