Job Description

The Accounting Specialist is mainly responsible for handling the supplier invoices and managing the accounts payable ledger. He / She will be tasked with vouchering invoices into the system (QAD) and paying to the suppliers on a timely basis; ensuring discounts when available. This position is responsible for Sales and Use tax and handling account receivable’s cash application with the administration of bi-weekly payroll.

The successful candidate will need to be proficient in Microsoft Office applications, particularly in Word and Excel and in time management skills, and critical thinking skills. An ideal candidate must have a good understanding of payments, the accounting process, and payroll administration.

  • The Accounting Specialist is primarily responsible for the weekly processing of accounts payable and accounts receivable cash application
  • Performs all accounts payable relation functions for purchases
  • Raise any issues to Staff accountant who handles AR issues
  • Ensure original documentation is complete with authorizing signature and appropriate supporting documentation (purchase orders and receivers).
  • Determine the correct account for posting.
  • Identify and take cash discounts where applicable
  • Generate checks, coordinate signatures and file all pertaining documents.
  • Maintain accounts payable records in an orderly fashion, including check registers.
  • Monthly reconciliation of Accounts Payable to General Ledger.
  • Communicate well with Purchasing agent for various issues
  • Update work instructions as necessary
  • Ability to work with minimal supervision and demonstrate critical thinking skills.
  • Follow all rules, regulations and work processes set forth by the company.
  • Have knowledge of sales and use tax and apply according to KY and CT regulations
  • Administers bi-weekly payroll functions including but not limited to; reviewing timecards for missed punches or codes, ensuring garnishments and 401k disbursements are input from corporate, and benefit reimbursements such as shoes and gym memberships.
  • Performs assignments in accordance with ITW policy, procedures and generally accepted accounting standards.
  • Maintain a safe working environment.
  • Attend any ITW required training include but not limited to; safety training, policy training and other training activities.
  • Other duties as deemed

Qualifications

  • 2 years college plus 2 years of experience in an accounting role required.
  • Working knowledge of accounting principles and applications; including but not limited to payments, accounting and budgeting.
  • Proficient in Word, Outlook, Suite, PowerPoint, IT applications and general office equipment.
  • Demonstrated Ability for advanced Excel applications and critical thinking skills.
  • At least 1 years’ experience in administering payroll tasks.
  • Comfortable using a computer for various tasks beyond general accounting.
  • Detail-oriented, well organized, self-motivated with ability to multi-task
  • Understanding and maintaining confidentiality.
  • Regular attendance is required; working during normal business hours showing up at the designated time. Some overtime may be required.
  • Ability to read, analyze, and interpret common financial reports
  • Excellent communication skills (oral/written) and the ability to interact effectively with all levels within the company, and customers
  • Excellent research, problem solving and interpersonal communication skills
  • Able to handle supervisory responsibility, if necessary.
