Description We are seeking a highly organized and detail-oriented Property Management Administrator to join our growing team. This position provides vital administrative support to our property managers, ensuring the smooth operation of our properties and fostering positive tenant relationships. You will play a crucial role in verifying and acquiring crucial property information, working with diverse online platforms, and communicating effectively with landlords.Responsibilities:Property research and verification:

Utilize online resources (including 3 main platforms) to scour the internet for property record cards across all 92 counties in Indiana.

Analyze property records to determine ownership and verify data accuracy.

Leverage GIS maps to pinpoint property addresses using cross-references or Zillow records.

Property agreement management:

Conduct searches in existing files to identify existing property management agreements.

Proactively reach out to landlords for missing agreements using a provided template.

Utilize an email template for initial contact, sending two follow-up emails before resorting to phone calls.

Demonstrate comfort and effectiveness in communicating with landlords over the phone to acquire agreements.

Additional administrative tasks:

Respond to tenant inquiries and requests promptly and professionally.

Assist with lease administration, including application processing, rent collection, and lease enforcement.

Contribute to maintenance coordination by processing work orders, scheduling repairs, and tracking completion.

Maintain accurate and up-to-date tenant files, lease agreements, and property documentation.

Compile and generate reports as needed, including occupancy reports, rent collection reports, and maintenance summaries.

Assist property managers with special projects and administrative tasks as needed.

Requirements

Experience in real estate, title insurance, or property management preferred

Proven interpersonal skills and computer competencies are necessary

Proven skills in customer service, problem-solving, complaint resolution, and negotiation
