Administrative Assistant
Illinois, Chicago, 60601 Chicago USAAdministrative Assistant wanted for subsidized high-rise building located in Lakeview neighborhood. Previous Administrative Assistant experience required. Must be dependable, detail oriented, and have a positive demeanor. Computer skills coupled with excellent writing and oral communication skills are mandatory.

Key responsibilities include but are not limited to:
Greeting and Directing of all visitors.
Receiving and directing all incoming calls.
Opening, stamping and distribution of all incoming mail.
Preparing, enveloping of outgoing mail, as needed.
Typing of daily correspondence and resident notices.
Oversight of resident’s account receivables: Collection and posting of monthly charges: rent, parking fees, etc. Maintenance of tenant’s accounts, including reconciliation of accounts with main office. Preparation of daily cash receipts reports and bank deposit.
Record and communicate work order to maintenance staff, making sure of their timely completion.
Schedule pest control treatments. Maintain exterminating logs.
File notices, work orders, and other miscellaneous filing as required.
Collect resident signatures on required paperwork.
Schedule Annual Unit Inspections, sending out proper resident notice prior to.
Qualifications
2+ years of experience in property management settings
HUD/Project-based section 8 experience preferred.
Accounting experience, good math skills.
Excellent writing and communications skills.
Ability to empathize with residents and staff while still enforcing community rules and policies.
Demonstrated ability to work effectively with Microsoft software applications and Boston Post or similar property management software.
High school diploma or equivalent
Line of Authority
The position of Administrative Assistant receives direct supervision from the Property Manager or Certified Occupancy specialists.
Resident Relations
Maintains a positive customer relations attitude.
