Accounting clerk/HR assistant
Hawaii, Hawaii, 96801 Hawaii USAGENERAL SUMMARY (2 to 3 sentence summary of major components of job)
Performs any combination of calculating, posting, and verifying duties for applicable accounting functions. Will include verifying/processing daily point of sale paperwork and creating deposits. May include processing payments through various means. May include inputting payroll time entry or other payroll/human resources related transactions. Other duties as assigned by supervisor.
MINIMUM REQUIREMENTS (minimum educational, experience, or other relevant job requirements)
1. High school graduate or GED equivalent.
2. Good communication/customer service skills.
3. Good organizational skills and attention to detail.
4. Computer proficient.
5. Cash handling experience.
6. High ethical and moral standards.
PREFERRED REQUIREMENTS (preferred requirements i.e. certifications, software use, etc.)
1. Experience in a construction industry setting.
2. Accounts receivable experience.
3. Payroll experience.
DUTIES AND/OR RESPONSIBILITIES (summary of components that make up the job) An asterisk () indicates essential job functions that cannot be modified in order to fulfill the job requirements.
1. Promote the Company’s Purpose, Mission, and Vision statements.
A/R function:
1. Reconcile daily point of sale paperwork for aggregate and concrete sales using JWS and Command Batch.
2. Verify product pricing, making edits and/or seeking out confirmation from sales staff as needed for reconciliation.
3. Communicate with dispatchers about price discrepancies, reasoning, and need for collection or credit.
4. Maintain daily point of sale files and reports.
5. Create and record daily cash and electronic deposits for all locations.
6. Assist customers, on the phone or via email, with account questions/concerns using JDE and BI as needed to obtain invoice and/or payment information.
7. Create and complete credit/rebills to customer accounts as needed using MS Excel and JDE.
8. Work with credit/risk manager as needed to research customer accounts and solve customer problems.
9. Perform duties as a Scale Operator for Waimea or Kona scale houses including but not limited to:
Obtain Weigh Master certification.
Using JWS to ticket aggregate customers and look up point of sale related information/reports.
Answer phone to take orders, obtaining all pertinent information: customer name, job name, job address and related directions, product, quantity, date desired. Verifying all information is correct with customer.
Input orders into JWS and create the daily schedule.
Manage daily schedule by making changes to accommodate new orders as possible.
Communicating with and directing haulers as needed to facilitate deliveries in an accurate and timely manner.
Processing customer payments, including use of UTA credit card software.
Create daily cash deposit, verify credit card and check totals.
Run scale house without supervision.
Payroll/HR functions (as back up):
1. Input time entry into accounting system or import from external sources (Kronos).
2. Reconcile timecards to active employees using JDE.
3. Maintain vacation/sick pay spreadsheet and reconcile with payroll reports.
4. Create one time overrides as necessary to facilitate proper payroll deductions in WorkForce Central.
5. Review JDE payroll reports to ensure accuracy.
6. Verify and submit payroll for approval.
7. Create new hire/termination documents.
8. Input new hire/termination information as needed in UKG and WorkForce Central.
9. Assist HR manager as needed.
Applicable to all positions:
1. Provide accounting assistance to accounting department staff to support accounting functions.
2. Always work safely and take action to prevent any and all unsafe actions, processes, and behaviors.
3. Must maintain confidentiality of financial/customer/employee data.
4. Must maintain the highest level of moral and ethical standards at all times.
5. Perform other duties as assigned.
KNOWLEDGE, SKILLS, AND ABILITITES (types and extent of knowledge, skills or abilities an incumbent must possess to complete the job responsibilities satisfactorily)
1. Proficient computer skills using and learning new software.
2. Proficient in MS Office Suite, including Word, Excel, Teams, etc.
