HVAC OFFICE MANAGER
Florida, Tampa bay area, 33601 Tampa bay area USAWe are seeking an experienced and organized HVAC Office Manager to oversee the day-to-day operations of our office. The ideal candidate will have a strong background in office management, excellent communication skills. The HVAC Office Manager will be responsible for coordinating office activities, managing administrative staff, and ensuring the smooth operation of our service / Maintenance department.(Will train )
The HVAC Office Manager acts as the hub of our team for residential scheduling and dispatching technicians for greatest efficiency and profit.
Duties/Responsibilities:
Hire and fire the marketers as needed not often but sometimes, do interviews for the company as needed .
Serve as the primary point of contact for customer inquiries and concerns, ensuring excellent customer service.
Oversee the daily operations of the HVAC office,
Maintain records of employee certifications
Maintain accurate , work orders, and service schedules.
Prepare reports, and other documents as needed.
Develop and implement office policies and procedures to improve efficiency and productivity.
Organizes and prioritizes phone calls in order of urgency.
Coordinate with technicians, sales staff, and other team members to ensure timely Arrival and completion to and from call.
Schedule and dispatch service calls to the appropriate technician
Manage employee schedules,
Performs administrative and clerical support tasks.
Performs basic filing and recordkeeping.
Performs other duties as assigned.
Required Skills/Abilities:
Excellent verbal communication skills.
Excellent interpersonal and customer service skills.
Professionalism speaking on the phone, through email and text messages.
Must be able to multitask within a high call volume.
Ability to recall previously learned information
Recognition of urgencies and emergencies
Basic understanding of administrative and clerical procedures and systems; while staying organized
Proficient with Microsoft Office Suite or related software.
Requirements
High school diploma or equivalent required
College Diploma Preferred not required
Management of 1 or more employees
Valid Driver’s License
Physical Requirements:
Prolonged periods of sitting at a desk.
Must be able to lift up to 15 pounds at time.
Job Type: Full-time
Pay: $18.00 - $20.00 per hour plus commission with room for growthquickly based on performance!
Expected hours: 40 – 45 per week
