We are seeking a highly organized, proactive, and independent thinker to support day-to-day operations and assist leadership in managing multiple initiatives, programs, and projects.
Position Overview
The Administrative Assistant / Junior Office Manager plays a critical role in ensuring smooth office operations while directly supporting leadership with administrative, operational, and project-based tasks. This role is ideal for someone who is resourceful, solution-oriented, and comfortable working with minimal supervision in a fast-paced, mission-driven environment.
You will be trusted to think ahead, anticipate needs, solve problems, and take ownership of tasks that keep the HUB running efficiently.
Core Responsibilities
Office & Administrative Support
Support daily office operations, ensuring the workspace runs smoothly and professionally
Manage calendars, schedules, and meeting coordination for leadership and programs
Handle incoming emails, phone calls, messages, and general correspondence
Maintain office supplies, vendor coordination, and light facilities oversight
Assist with onboarding new members, guests, and partners
Project & Program Support
Support ongoing programs, workshops, events, and community initiatives
Track tasks, deadlines, and deliverables across multiple projects
Prepare documents, reports, trackers, and summaries as needed
Assist with data entry, CRM updates, and internal systems management
Independent Problem-Solving
Identify operational gaps and propose solutions before issues escalate
Handle routine decisions independently and escalate only when necessary
Improve workflows, organization systems, and administrative processes
Qualifications & Skills
Required
1–3 years of experience in an administrative, office management, or operations role
Strong organizational and time-management skills
High level of professionalism, discretion, and reliability
Ability to work independently and manage competing priorities
Excellent written and verbal communication skills
Proficiency with Google Workspace (Docs, Sheets, Calendar), Microsoft Office, and basic admin tools
Preferred
Experience in coworking spaces, startups, nonprofits, or community-based organizations
Familiarity with invoicing, light bookkeeping, or budget tracking
Comfort working in a fast-moving, entrepreneurial environment
Tech-savvy and quick to learn new tools and systems
