Established family-owned property management company seeking a detail-oriented, trustworthy professional to help manage our portfolio of residential rental properties in Lower River Valley Connecticut, Ludlow,Vermont and New York.

What You'll Do:

Tenant & Lease Management:

Monitor and track rent payments, follow up on late payments, and manage payment plans

Handle lease administration including renewals, amendments, and documentation

Manage the escalation process for past-due accounts through collections and eviction proceedings

Review and evaluate rental applications thoroughly (credit checks, background checks, references, income verification)

Screen prospective tenants to identify quality, creditworthy renters and flag potential issues

Create and manage property listings on Zillow, Apartments.com, and other rental platforms

Communicate with tenants professionally regarding lease matters, payments, and property issues

Handle tenant move-ins and move-outs including inspections and deposit reconciliation

Assist with tenant relations and resolve complaints or conflicts diplomatically

Maintenance & Project Coordination:

Assist in prioritizing maintenance requests and property improvements across all properties

Work closely with property managers and contractors to coordinate repairs and upgrades

Track maintenance projects to ensure completion on time and within budget

Follow up with contractors on project timelines, quality of work, and cost estimates

Maintain records of maintenance history and expenses for each property

Help determine urgent vs. routine maintenance priorities

Coordinate scheduling between tenants, property managers, and contractors

Financial & Administrative:

Process and track payments to subcontractors, vendors, and service providers

Audit credit card charges including Amazon purchases and contractor expenses

Reconcile invoices and maintain accurate financial records

Monitor project budgets and flag cost overruns

Assist with local and state tax filings and documentation

Maintain organized records for tax and compliance purposes

Property Operations:

Coordinate with legal counsel when necessary for evictions and legal matters

Communicate with local authorities regarding water, zoning, septic, and other municipal matters

Maintain accurate records in our property management system

Handle correspondence with town offices, utility companies, and regulatory agencies

What We're Looking For:

Strong organizational skills and attention to detail - you'll be managing multiple properties, deadlines, projects, and financial records

High level of integrity and trustworthiness - you'll handle sensitive financial and personal information, payments, and company accounts

Excellent communication skills, both written and verbal - you'll interact with tenants, vendors, contractors, property managers, and town officials

Project management ability - tracking multiple maintenance jobs and improvements simultaneously

Ability to handle difficult conversations with tact and professionalism

Experience reading and evaluating rental applications, credit reports, and background checks

Good judgment in assessing people, situations, and priorities - you'll help us make important decisions about tenants, repairs, and resource allocation

Comfortable with confrontation when necessary (collections, lease violations, evictions, holding contractors accountable)

Strong computer skills including Excel/spreadsheets, property management software, and basic accounting/bookkeeping

Experience with accounts payable/receivable and basic financial record-keeping

Problem-solving mindset and ability to think critically about priorities - every day brings different challenges

Empathy balanced with firmness - understanding tenants' situations while protecting our business

Ability to juggle multiple priorities, stay organized, and meet deadlines

Experience Preferred (but not required):

Previous property management, leasing, or real estate experience

Project coordination or management experience

Bookkeeping or accounting experience with Quickbooks

Collections or accounts receivable experience

Working with contractors and vendors

Customer service in challenging situations

Familiarity with landlord-tenant law (Connecticut)

Experience working with municipal offices or regulatory agencies

Location: Prefer that the applicant is located in Eastern Connecticut, but Remote work and location ok.
