Job Description:
As a Shipping Specialist, you will be responsible for managing the shipping and logistics operations of our small manufacturing company. Your primary objective will be to coordinate and oversee the entire shipping process, from order fulfillment to final delivery. You will work closely with various internal departments, external vendors, and shipping carriers to ensure accurate and efficient shipment of our products.
Key Responsibilities:
1. Order Processing:
Receive and review customer orders, ensuring accuracy and completeness.
Verify product availability and coordinate with the production team to meet order deadlines.
Generate shipping labels, packing slips, and other necessary shipping documentation.
2. Shipment Coordination:
Coordinate with shipping carriers to schedule pick-ups and deliveries.
Select appropriate carriers based on cost, delivery timelines, and customer requirements.
Arrange and optimize shipments to minimize costs and ensure timely delivery.
Track and monitor shipments to ensure they are on schedule and address any delays or issues proactively.
3. Inventory Management:
Maintain accurate inventory records to track product availability.
Coordinate with the production team to ensure adequate stock levels for timely order fulfillment.
Conduct periodic inventory audits to reconcile physical inventory with system records.
4. Packaging and Labeling:
Ensure proper packaging of products to prevent damage during transit.
Create and implement packaging guidelines to optimize efficiency and reduce waste.
Label packages accurately to facilitate easy identification and sorting.
5. Compliance and Documentation:
Ensure compliance with all shipping regulations, including international shipping requirements, customs documentation, and hazardous materials handling (if applicable).
Prepare and maintain shipping-related documentation, such as customs forms, bills of lading, and export documentation.
Stay updated on changes in shipping regulations and communicate any relevant updates to the team.
6. Customer Service:
Provide excellent customer service by addressing customer inquiries related to shipments, delivery status, and tracking information.
Resolve any shipping-related issues or complaints in a timely and professional manner.
Requirements:
High school diploma or equivalent; relevant certifications or coursework in logistics or supply chain management is a plus.
Proven experience in shipping, logistics, or a related field, preferably in a manufacturing or distribution environment.
Strong knowledge of shipping procedures, carrier networks, and logistics operations.
Familiarity with shipping software and systems (e.g., UPS, FedEx, DHL) and experience with order management systems (OMS) or enterprise resource planning (ERP) software.
Proficiency in using computers and standard office software (e.g., MS Office, Google Suite).
Excellent organizational and multitasking skills, with attention to detail and accuracy.
Effective communication skills, both verbal and written, to interact with internal teams, external vendors, and customers.
Ability to work independently and collaboratively in a fast-paced environment.
Problem-solving skills and the ability to adapt to unexpected situations.
