Part-time bookkeeper / office admin position, involving acting as Executive Assistant to the Managing Attorney, including paying bills and keeping records for a small law firm (three attorneys and a paralegal), keeping the books and data bases for a management company managing a small ten-building apartment building operation, with interface to a small real estate brokerage team (five people) - all of them affiliated family businesses. Applicant must be fluent in English and demonstrate facility with Outlook and Quickbooks, organization skills, and attention to detail. Familiarity with AppFolio would be a major plus.

Hours are flexible within normal business hours, but ideally the employee will work in-office within the law firm office (Union and Gough Streets) five days per week, preferably in the mornings. Duties will include:

-Opening mail and keeping track of appointments

-Tracking expenses and reimbursements across the various businesses and making payments to vendors

-Generating quarterly and year-end expense reports

-Tracking rents and rent increases

-Managing the various real estate related data bases

-Interfacing with tenants / service providers / real estate team / attorneys on expense and admin details

-Office administration including answering incoming office calls, checking and ordering supplies, and receiving packages

Applicants should be personable and willing to cooperate with others as this position requires communicating with a range of team members, tenants and vendors. Applicants must also be flexible and self-directed, so as to be able to prioritize their workflow when faced with competing time-sensitive tasks. Strong communication skills are a must.
