Position Description:

One (1) Permanent-Exempt, full time, (40 hours/week), full year (260 days/year) position. Exempt employees are considered "at will" and serve at the discretion of the appointing officer.This position is grant funded and funding is reviewed on an annual basis. Expected duration of grant is through June 30, 2026. Appointments is subject to change dependent upon grant status. The College has been awarded a grant from the Humanizing Resources Project: Hire, Retain, Celebrate Employee Excellence Project (HRCEEP). This position is being funding via this grant for two years. The position will report to the College's Compliance Officer and provide direct services to those involved in the implementation HRCEEP, and the public who needs to access the newly implemented EEO Services to be developed with the grant funding.

Job Duties:

1. Codes and indexes documents, records and correspondence. Methods may include color code, terminal digit, numerical, alphabetical and/or chronological order to ensure proper filing and ready access of data.2. Disseminates information and answers inquiries by communicating with the public, departmental personnel and other departments.3. Checks and reviews a variety of documents for completeness and accuracy.4. Files, maintains and retrieves documents, records and correspondence in accordance with established procedures.5. Compiles information and data necessary for the preparation of various departmental reports in which judgment may be exercised in the selection of data and materials.6. Prepares and maintains a variety of reports in which judgment may be exercised in the selection of data and materials.7. Makes mathematical computations using addition, subtraction, multiplication and division of whole numbers, decimals and fractions.8. Exercises sound judgment and utilizes knowledge of applicable laws, regulations and procedures in solving daily clerical and office problems.9. Receives a variety of telephone and in-person calls and routes such calls and individuals to proper places.10. Operates office equipment, including calculators, photocopying equipment, adding machines, computer terminals, document imaging, fax machines and postage meters.11. Other duties as assigned.

Minimum Qualifications:

Education:Experience:Two (2) years of clerical experience included preparing and maintaining a variety of records and/or documents, filing, use of office equipment, public contact and processing of incoming and outgoing mail. Substitution:Any one of the following may substitute for six (6) months of the required experience:Completion of a clerical training program (240 hours); OR15 semester units (or equivalent quarter units) of coursework from an accredited college or university; ORCompletion of an approved City and County of San Francisco Clerical Administrative training program (as designated on the job announcement).Note: College Work Study and Student Lab Aide experience with the District will be considered/applied as qualifying experience per an agreement made between the District and SEIU. This agreement will allow District students to take advantage of employment opportunities. March 2024.

Desirable Qualifications:

1. Previous experience preparing and maintaining spreadsheets.2. Previous experience organizing and maintaining confidential information.3. Previous experience working in a higher education setting.4. Digitally proficient, especially with Microsoft Office, and adept at learning new software and processes.5. Experience with EEO/ADA/Compliance.

Benefits:

1. Additional Days Off with Pay. As stipulated in the appropriate bargaining agreements and board resolutions, Classified employees working full year (260 days/year) work schedules are granted, as paid days off, the days between Christmas and New Years Day, as well as an additional five (5) paid days off during spring break. Eligible school- term-only (STO) employees who are not scheduled to work the designated days between Christmas and New Years Day shall be granted three(3) paid days off to be scheduled by mutual agreements between the employee and supervisor. Eligible school- term-only (STO) employees who are not scheduled to work the days designated as Spring Break will not be paid for these days off.

2. New employees hired on or after October 1, 2013 will contribute 2% of salary to the San Francisco Retiree Health Care Trust Fund (RHCTF).
