We are seeking a dedicated and detail-oriented Assistant to provide comprehensive support to a dynamic and fast-paced principal. This is a hands-on role requiring flexibility, discretion, and creativity to manage a wide range of personal and professional tasks. The ideal candidate thrives in a collaborative environment, is a proactive problem-solver, and takes pride in creating an organized, warm, and inviting atmosphere.
Essential Duties and Responsibilities:
Oversee and manage a variety of evolving special projects, ensuring alignment with the principal’s vision.
Maintain inventories, ensuring accuracy and accessibility.
Travel as needed with the principal domestically and internationally, supporting the principal on trips and
managing logistics.
Create a welcoming environment tailored to the principal’s preferences.
Assist with packing, luggage runs and ensuring smooth travel preparations.
Focus on details while maintaining a big-picture perspective during tasks and projects.
Work in collaboration seamlessly with the executive assistant, estate manager, and project manager on joint
endeavors.
Plan and execute events, including lunches, dinners, parties, and family gatherings.
Fill in for the Executive Assistant as back-up support when she is out.
Research restaurants and make dining reservations, keeping in mind the principal’s dietary requirements and
dining preferences.
Set tables and curate memorable dining experiences.
Think creatively and adapt flexibly to new challenges and requests.
Organize, collect, and review all mail and packages for the principal.
Conduct thorough research and provide detailed reports for the principal’s requests.
Draft emails, compile photos, perform data entry, and provide other administrative assistance as needed.
Handle online and in-store purchase requests, manage returns, and prepare detailed descriptions and photos.
Assist with tasks related to the family dog.
Organize expense reports and ensure accurate record-keeping.
Take on additional projects and duties as assigned, ensuring timely completion.

Position Details:
Full-time position with flexibility in schedule.
Must be willing and able to travel as required.
Competitive compensation package based on experience.
A minimum of 1 year of administrative experience
Must have a passport
High level of organization and attention to detail
Proficient in both Mac and PC platforms, Microsoft Word and Excel
Ability to work in a fast-paced and constant changing environment
Proactive with a positive attitude
Flexible and has the ability to make changes on the fly
An understanding of the level of service required by an HNWI
Excellent verbal and written communication skills
Ability to work independently and as a part of a team with little guidance/direction
Keep up with current events
High levels of professionalism, confidentiality, discretion and judgement
Sense of humor
Ability to recognize and prioritize tasks
Ability to make decisions with little to no input from principal
