Well-established psychoeducational practice in San Diego has an immediate opening for a part-time Administrative Coordinator, with opportunity for continued growth within the role. Our practice develops individualized treatment programs for children and families with learning, social, emotional and other challenges. We are seeking a personable, motivated, efficient, and highly organized individual to contribute to and share in our company’s expansion.
As the Administrative Coordinator, you will be responsible for supporting scheduling, billing, process management and other general office functions, including the following:
Scheduling appointments for multiple therapists and coaches
Welcoming clients upon arrival for sessions
Communication with team regarding client flow, schedule changes
Coordinating meetings with school personnel, therapists, and other professionals
Preparing and following up on client program agreements
Tracking of client program fees
Data entry utilizing behavioral health/billing EHR software
Monthly billing and accounts receivable
Generating and transmitting superbills
Answering phone calls and responding to inquiries about our services
Completing client intakes
Communicating with clients regarding billing practices and insurance
Evaluation of billing practices and research into insurance company relationships
General office procedures and organization, including inventory and supply orders
Organization and flow of front office tasks and functions
Administrative Coordinator Applicant Requirements:
2+ years Office Manager or Behavioral/Medical Office experience
Understanding of small office organizational systems and ability to adjust them to accommodate growth
Experience with client/patient billing
Experience working with insurance companies
Experience with EHR (Electronic Health Record) software a PLUS
Proficiency with Microsoft Office 365 Applications (Outlook, Word, Excel, Teams, etc.)
Strong verbal and written communication skills
Maintain client confidentiality and professionalism
Ability to multitask, prioritize and manage time
Ability to work under pressure both independently and within a team-based, dynamic environment
Open to demonstrate initiative, and accept constructive feedback
Ability to communicate and create rapport with a diverse population of families, children and team members
Comfortable interacting with parents, children and individuals demonstrating a range of physical, developmental and other disabilities
Embrace the practice’s holistic philosophies and therapies
Knowledge of emotional, social, and learning disabilities a PLUS
Knowledge of public and private education systems a PLUS
20-25 Hours per week to start potential to increase over time.
