Overall responsibility of Office Assistant/Construction Coordinator:
The Office Assistant's role is to provide support to the President, Project Managers, and Accounting Department. Duties include but not limited to: general construction project coordination, office management, and accounting assistance. This individual must project a professional company image through in-person and phone interaction.
Key areas of responsibility:
Coordinate construction scheduling and communication and act as a liaison to project management concerning bids, subcontracting, progress, and delays
Type and prepare proposals, contracts, change orders, and other office correspondence as necessary
Assist Accounting Department when necessary
Answer phone calls, voice messages, and emails accordingly
Track and disperse all new client leads
Maintain office supplies to ensure they are orderly and replenished as needed
Maintain office calendar daily and sales reports monthly
Maintain marketing materials and advertising mailings
File paperwork in the correct place with attention to detail, to allow for quick and easy access
Manage overall organization within office
Candidate must possess the following skills/traits:
Proficient knowledge of Microsoft Excel required
Knowledge of construction concepts, practices, and procedures
Relies on instructions and pre-established guidelines to perform the functions of the job
Works well independently and within a group environment
Very organized with a high attention to detail required
Works well in a fast-paced, demanding environment
Enjoys improving procedures to create a more efficient work environment
Construction experience required 2+ years. Bilingual English/Spanish preferred but not required.
Experience with prevailing wage - paying & filing preferred but not required
