Job description

We are looking for a detail-oriented individual to join our team as a clerical assistant. The responsibilities of the clerical assistant include answering phone calls, emails and other communications and directing them to the appropriate person. They also maintain and update records, handle basic bookkeeping tasks and manage inventory of office supplies.

To be a successful clerical assistant, you should have excellent organizational and administrative skills. Ultimately, be proficient in computer programs such as QuickBooks Online, Microsoft Office, Adobe, Excel and able to use various office equipment like printers, scanners. Perform data entry, prepare and distribute documents, and help with organizing events and meetings. Should have excellent communication skills, and the ability to multitask and work well under pressure. Must be detail-oriented, have good time management skills, and be able to work independently or as part of a team.

Job Responsibility-

-Answering phones and responding to emails

-Collecting payments for current and aging invoices.

-Filing and organizing office documents

-Typing correspondence and reports

-Scheduling appointments and meetings

-Maintaining office inventory and ordering supplies

-Handling incoming and outgoing mail and email

-Operating office equipment such as copiers and scanners

-Assisting with all accounting tasks such as invoicing and billing

-Updating and maintaining databases and records

-Providing general administrative support to the team.

Qualifications-

-High school diploma or GED.

-Proficient in QuickBooks Online (important qualification)

-Completion of an administrative course may be advantageous.

-A minimum of 1 year office experience may be preferred.

-Competency with computers, physical and digital filing systems, and typing.

-Strong written and verbal communication, interpersonal, and math skills.

-Good problem-solving skills.

-Professionalism, discretion, and the ability to work with minimal supervision.

-Able to lift 50-60 pounds.

-Some knowledge of commercial/residential glass industry is preferred.

-Bilingual-MUST speak Spanish and understand Spanish

Job Type: Part time

Salary: $15.00 - $18.00 per hour

Expected hours: No more than 25-34 per week
