The company was founded by Pasquale Rotella and has been based in Los Angeles since it was formed in 1993.THE ROLEInsomniac Events is seeking a highly skilled Exterior Ops Project Manager in creating and overseeing operations plan for the exterior of festivals and events including, but not limited to, venue transportation planning, logistical site planning, shuttle operations, parking operations, access control, vehicular and pedestrian wayfinding, security deployments, traffic control deployments, asset procurement, lot procurement, and permitting. This position reports directly to the Exterior Ops Director.RESPONSIBILITIESPlanning and Administration

Build out/prepare folders and organizational tools ahead of each event with the assigned Director, to ensure proper housekeeping, file storage, expense logs, data collection, and note taking.

Ensure all vendors are on-boarded with legal and finance, including PO generation, COI/Contract requests, and Vendor packets

Introduction to budgeting skills around forecasting, savings, expense tracking, vendor settlement, and reconciliation (Procurify, Concur, P Card)

Work with Ext Ops Director to ensure recruiting and training practices are implemented for all events; and ensure all temporary onboarding is facilitated for any seasonal/temporary hires with HR.

Work with Director to confirm and approve travel requests, and ensure timeliness of submissions for all staff/vendor travel within department

Assist to ensure all Parking & Traffic planning, and Ingress/Egress plans for staff and patrons are cohesive with the remainder of the event operations. Assist in analyzing, annotating and auditing the event’s TMP and VMS plan prior to event

Develop and maintain a concise on-site build schedule with Ext. Ops Director for each event, including key team arrivals, vendor build/strike dates, and important information for internal, and event-wide dissemination.

Review and manage Lennd database tracker for all vendors/contractors.

Lead and ensure all on-site needs & assets are requested via the company advance program (Lennd) for the all exterior staff and vendors including: site assets, lodging, transportation, travel, meals, and credentials

Assist with developing a deployment schedule for additional staff, security, traffic management, and any other internal or external departments needed to support the exterior operation.

Ensure Wayfinding signage plans for any exterior location to/from the venue are clearly communicated, advanced, and deployed. Manage signage inventory ensuring all necessary items are in stock, complete signage advance, and provide information for any additional needs or event specific signage

Support and have comfort liaising with local agency (PD, Fire, DOT, City) Officials; and work with Director on disseminating All Agency meeting materials, documentation, and event information as required by Producer.

Support Shuttle Ops Manager (or vendor) with advance and on-site execution of Shuttle operations for short and long distance shuttle programs.

Encouraged to take on tasks that support but help individual growth within the department with the goal to lead on small scale concerts and eventual festivals.

On Site

Lead the exterior ops team in the implementation of the plan and actively adjust as needed in real time

Act as main POC for exterior ops staff to ensure the crew has all necessary materials and accommodations for their position in coordination with event administration

Ensure all deliverables are kept within the approved Exterior Ops On-Site Schedule, and troubleshoot any delays or roadblocks

Support Ingress and Egress operations for pedestrians and vehicles. Working alongside Ext Ops lead and contracted parking/traffic companies to ensure the TMP is being followed

Oversee the deployment of all onsite assets (rented or owned), as it relates to the exterior footprint

Check that the exterior signage plan was installed correctly related to all wayfinding to/from the venue, and managing/inventorying all signage deployed

Work closely with Box Office team or any off-site activations that may require assistance in building out their on-site operation

Liaise with local agency (PD, City Officials) on road closures, traffic, and safety plans

Ensure rented properties are being returned on schedule

Oversee, follow up, and communicate with necessary departments regarding onsite issues including: damages, workplace injury, theft, client or internal complaints

Attend production meetings and mid show briefings, and ensure notes/follow-ups are captured and delivered when required.

Other special projects, tasks and ad hoc assignments as needed

Some frequent travel will be required (economy)

QUALIFICATIONS

Bachelor's Degree or equivalent work experience working with a team

Familiar with Back of House software

Proficient in budgeting, reconciling and analyzing event operations excel spreadsheets

WORK ENVIRONMENT

Must be able to tolerate loud noise levels & busy environments

May work in drastic temperature climates

Must be willing to travel to work events during holidays, evening and weekend hours, as required, to meet deadlines
