DescriptionAs an Information Security Specialist, you will play a critical role in supporting, enhancing, and advancing the organization’s Records Management Program. You will engage with business units across the organization, provide essential metrics and documentation, and ensure that Records Management policies and minimum requirements are effectively implemented in the organization. The role demands a proactive approach to mitigating information security risks, fostering collaboration, and supporting organizational compliance efforts. Primary Responsibilities:
Perform User Entitlement Reviews for Iron Mountain Connect and Policy Center, both systems of records through the vendor Iron Mountain. Independently address any issues that arise during the review and document the results accurately and according to best practices. Recommend ideas for automation where applicable.
Lead the legal hold process, assist as required to ensure the legal holds are properly applied to Records at Citizens Bank. Perform a monthly reconciliation of legal holds to ensure our records reconcile to the system of record, eDiscovery system.
Perform system updates as requested by business lines to Policy Center. Understand the system, identify areas for streamlining, implement efficiencies.
Maintain relationships with Business Records Managers and Records Coordinators throughout Citizens’ footprint and key stakeholders across the organization.
Prepare Records Management monthly metrics; analyze and determine the appropriate metrics to accurately support the work of the team. Analyze areas where metrics may have gaps month over month and report.
Manage the Records Management Team Mailbox via Outlook. Address, assign and track all incoming requests from colleagues across the organization.
Report updates and stats on work productivity on a weekly basis. Identify and communicate any emerging risks.
Lead the Metadata Compliance function, hold meetings with business lines, make recommendations to complete metadata fields, track missing metadata fields, consistently understand the metrics within this function, submit approved updates to Iron Mountain for processing, perform sample quality control reviews once updates have been implemented.
Document and revise procedures and job aids as needed.
Support the team by leading discussions for JIRA Sprints and Confluence updates, both workflow tracking tools.
Other comparable duties as assigned, including stretch goals.
Experience and Skills:
Experience working in a professional environment.
Understanding of records management concepts, best practices, and regulations.
Analyze current tasks within the team and make recommendations to the manger for streamlining, efficiencies through automation and/or artificial intelligence.
Advanced understanding of the Microsoft Office suite (e.g., Outlook, Word, Excel, PowerPoint, One Note)
Excellent verbal and written communication skills, ability to independently grow ones professional network.
Ability to execute work independently and be a team player with good interpersonal skills – using tact, patience, and courtesy.
Excellent time management skills; ability to effectively multi-task by prioritizing ones multiple responsibilities.
Motivated, self-starter, must be able to take on a task and independently accomplish it with minimal guidance.
Willingness to reach out, learn new tasks, be forward thinking and expand knowledge to understand impacts across the organization.
Must be able to ask questions, be open minded, make suggestions to create a positive environment.
Education:
Bachelor’s degree in a business-related field required.
Willingness for continuing education; obtain Records Management or Information Governance Certifications.
Preferred Experience and Skills:
5 or more years of experience in a records management capacity or similar experience.
Experience within applications; Policy Center and Iron Mountain Connect.

Actual pay is based on various factors including but not limited to the work location, and relevant skills and experience.
