Description We are offering a contract employment opportunity for an Administrative Assistant in the non-profit industry, located in Phoenix, Arizona. This role involves a variety of tasks including setting up technology for meetings, greeting visitors, scheduling appointments, and managing office supplies. Responsibilities: Set up and maintain technology for meetings, ensuring all necessary equipment is functional and ready for use Perform receptionist duties, greeting and directing visitors as necessary Schedule external meetings and vendors for larger meetings, coordinating all necessary logistics Support the transition of the office move to a new location, assisting with all associated tasks Take detailed notes during board level meetings and draft initial versions of minutes for review Manage the ordering and inventory of office supplies, ensuring all necessary items are available as needed Review and approve office invoices, ensuring accuracy and timely payment Answer inbound calls and provide excellent customer service, addressing inquiries and resolving issues as necessary Perform data entry tasks, maintaining accurate and up-to-date information in our systems Utilize Microsoft Office Suite (Excel, Outlook, PowerPoint, Word) to create documents, manage schedules, and communicate with team members Schedule appointments and manage calendars, ensuring efficient time management Perform receptionist duties as needed, including greeting visitors and answering inbound and outbound calls. Requirements Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) Experience in handling inbound and outbound calls Strong customer service skills Ability to perform data entry tasks with high level of accuracy Familiarity with email correspondence etiquette Experience in scheduling appointments and managing calendars Knowledge of ordering office supplies Ability to perform receptionist duties such as greeting visitors, answering phones, and sorting mail Strong organizational and time management skills Excellent written and verbal communication skills Ability to work independently and as part of a team Attention to detail and problem-solving skills Experience in a non-profit environment would be an advantage.
