FULL DESCRIPTION: As the Assistant Operations Manager, core responsibilities include promptly addressing customer requests and resolving equipment, parts, and charger issues, overseeing procurement processes such as RFQ preparation and supplier liaison, coordinating delivery schedules, managing invoices and payments, preparing quotations, supporting business development through meeting preparation and data analysis, facilitating HR and office management tasks like recruitment and expense coordination, compiling regular reports for management review, and managing general affairs and VIP protocol to ensure smooth branch operations and visitor experiences.
The selected candidate will be responsible for:
Address all customer queries and issues promptly, directing them to the appropriate personnel for resolution.
Handle concerns related to equipment, parts, charger issues, fleet management system, state policies, training, and short-term rental with efficiency and effectiveness.
Initiate equipment and parts procurement by preparing RFQs and obtaining quotations from suppliers.
Coordinate with suppliers to fulfill customer and operational requirements, ensuring timely delivery and quality assurance.
Develop delivery plans in collaboration with customers and equipment suppliers, specifying dates, times, and quantities.
Inspect loading/unloading sites to mitigate potential issues or delays and prepare all necessary transportation documents for smooth logistics management.
Review and finalize AR invoices, ensuring accuracy and compliance with lease, rental, or sales agreements before forwarding them to customers.
Engage in negotiations with customers regarding invoice terms, elucidating price structures and resolving any queries.
Oversee AP invoices and facilitate payment resolutions to ensure timely payments to partners.
Identify reputable suppliers to collaborate with HQ, obtaining competitive quotations for equipment and forklift accessories.
Obtain approval from division heads before presenting quotations to customers, ensuring alignment with organizational objectives.
Assist in preparing meeting materials and schedules for division heads and department leaders to foster new business opportunities.
Analyze customer and partner data, generating reports for division heads to inform strategic decision-making.
Facilitate business trips and meetings and provide support in drafting confidential documents such as LOIs, NDAs, and contracts.
Manage recruitment processes by collecting resumes and coordinating interviews for Branch employees.
Coordinate employee meetings with customers or suppliers, optimizing engagement and business relations.
Arrange reservations for business trips and miscellaneous expenses, contributing to efficient office operations.
Gather and report branch-related issues to division heads and department leaders, providing insights for effective decision-making.
Compile report materials for management-level review, ensuring transparency and accountability.
Review and address general affairs reports and branch issues, implementing corrective measures as necessary.
Coordinate schedules and provide support during visits by VIPs, including Vice Presidents, ensuring a seamless experience.
Facilitate protocol requirements and furnish information about in advance, enhancing the organizational image and reputation.
Prepare reports for Branch Manager.
Other duties as assigned by the Branch Manager
The selected candidate will also possess:
Demonstrated proficiency in leadership, evidenced by a successful history of team management and achievement of desired outcomes.
Exceptional aptitude in communication, negotiation, and problem resolution.
Comprehensive understanding of logistics operations, staying abreast of industry dynamics and adopting best practices.
Competence in utilizing technological solutions including warehouse and transportation management systems, alongside adeptness in data analytics.
Capacity to excel within dynamic environments, adept at adjusting to evolving business requirements.
Proven capability in technical writing, proficient in both Korean and English.
Flexibility to travel up to 30% of the time as necessary.
Ability to handle loads ranging from 50 to 100 lbs.
Salary Range: $60k-$70k/yr
