The primary responsibility of the Executive Assistant is to support the overall administrative functions of their assigned department or executive. This position requires exceptional written and verbal communication, attention to detail, timeliness, and accuracy of data entry. This position is responsible for providing direct administrative support to senior and executive level management to include but not limited to the CEO, President and executive management leader(s). You must be able to adhere to strict confidentiality, privacy standards whether you are in a business, social or private situation. Company policy and procedures must be adhered to. DUTIES AND RESPONSIBILITIES:

  • Provide administrative and secretarial support to senior, executive and management leader(s) and their teams. (Assistant will be assigned)TBD
  • Coordinate calendar and logistics for on-site and off-site meetings, including scheduling, registration, and travel arrangements as required by various participants and production and distribution of meeting materials.
  • Assist as meeting planner for all types of meetings; coordinate presentation needs with (AV) for room set up; coordinate and provides instructions for virtual WebEx type meetings; coordinate catering needs and any off-site dining requirements.
  • Assist with administrative duties for other departments as needed/requested, including answering phones, meeting coordination, expense reports, etc.
  • Cross-train to provide backup support with other Executive Assistants, understanding of support process, and provides assistance to other Executive Assistants and work tasks required.
  • Process expense reports and requisitions for departmental invoices as assigned. Maintain an understanding of department codes for appropriate processing of expenses.
  • Performs desktop publishing, and report development as assigned by senior executives /management / as per requested.
  • Manages projects and tracks progress as assigned.
  • Functions as the office liaison, ordering food, supplies, etc. as directed or delegated to by you to the assistant.
  • Participate in meetings as assigned to take and develop minutes and or operate Audio video.
  • Responsible for complying with GEI/Synenergy security requirements, policies and procedures.
  • Responsible for safeguarding GEI/Synenergy or GEI/Synenergy related IT passwords.
  • Responsible for notifying GEI/Synenergy of any security incidents per the company policy (Information Security Incident Management).

QUALIFICATION REQUIREMENTS:

To perform this job successfully an individual must be able to perform each essential duty satisfactorily.   • Minimum of an AA degree. Bachelor's degree preferred with experience.
  • 3-5+ years' experience in an administrative support services role, working in a fast paced, attention to detail environment.
  • Have excellent oral and written communication skills.
  • Able to maintain a high level of confidentiality when exercising all duties.
  • Ability to excel with simultaneous assignments from multiple leaders or team members; strong ability to prioritize workload
  • Able to work independently, interpreting a variety of instructions, and dealing with mathematics, blueprints, coal technology desirable but not required.
  • Advanced working skills using Microsoft Word, Excel, and PowerPoint, Access software packages. Google Suite
  • Maintain a high level of energy and project a positive attitude to all GEI/Synenergy employees, company guest and anyone having or potentially having business with GEI/SynEnergy.
  • Able to maintain a dependable and flexible work schedule.
  • Excellent organizational "Rock Star" skills who is detail oriented.
