Accounting & Human Resource Specialist

Department: Finance

FLSA: Exempt

Supervisor: Controller

Job Definition: Assist the Accounting Department in the management of various accounting and Human Resource functions, back-office support, and federal and state compliance. Manage and complete special financial projects. Requires mostly sitting at a desk and constant visual of computer screens.

Essential Duties and Responsibilities:

  • Code, route, and input accounts payable.

  • Prepare and submit accounts receivable invoices.

  • Prepare invoices for payment and pay vendors.

  • Assist in preparation of periodic internal financial reports.

  • Assist with journal entries and reconcilements monthly.

  • Knowledge of commonly used accounting concepts, practices, and procedures to assist with monthly and year end close, fixed assets including depreciation, monitoring capital projects, monthly account analysis, journal entries, preparation of monthly reports, budgeting, tax compliance, and internal controls.

  • Assist with budgeting, forecasting and cash management.

  • Assist with employee benefits and payroll processing.

  • Monthly and quarterly reconciling of GL accounts and payroll tax.

  • Develops, recommends, and implements personnel policies and procedures, assists in preparing and maintaining company handbook on policies and procedures.

  • Assists with renewals for company’s medicals insurance, 401(k), and benefits.

  • Minimal travel and overtime.

  • Communicate with others in a courteous and professional manner.

  • Conform with and abide by all regulations, policies, work procedures and instructions.

  • Conform to all safety and security rules.

  • Performs other management duties and special projects as assigned or required by Management.

Preferred Skills and Abilities:

  • Knowledge of payroll systems, including processing and reconciling of payrolls.

  • Basic Human Resources knowledge and understanding.

  • Working knowledge of double entry accounting.

  • Be detail and results oriented, with multi-tasking ability.

  • Ability and desire to learn and work in a team-oriented environment as well as independently with absolute delivery deadlines.

  • Oral and written communication and presentation skills

  • Leadership, supervisory and managerial skills

  • Strong planning and organizational skills

  • Strong computer skills

Minimum Qualifications: An Associate's degree in Accounting, related field or equivalent combination or experience and training. Be able to pass various background and drug testing.

Computer Equipment and Software Requirements:

  • Accounting Software: MAS-500 (Sage)

  • Microsoft Office: Word, Excel, Power Point, and Outlook

  • Payroll Software: ADP

  • Proficient use of spreadsheets, internet, phones, and computers.
