Job Description

Position Summary

The Executive Assistant is a polished, professional with a service-oriented demeanor. This person has a curious and proactive learning mindset to support continuous improvement both personally and for the business. The ideal candidate has an aptitude for working in collaborative international team environments with a focus on maturity, proactive communication, relationship building skills and resiliency. This position will be based in Milwaukee, WI.

Responsibilities

  • Provides non-routine project-based and administrative support to Senior-level management, handling high volume of competing requests (via multiple clients) that require professional discernment on appropriate urgency/prioritization to complete.
  • Provide extensive calendar support requiring prioritization of multiple calendars with effective communication across various stakeholders (especially Administrative colleagues) throughout the company.
  • Coordinates, schedules and manages travel, meetings, seminars series, speaking engagements and conferences for leadership.
  • Initiates and continuously improves administrative procedures for manager/department.
  • Independently writes communications while also reviewing and editing departmental documents for grammar, style, and formatting using the Microsoft Office suite of products.
  • Prepares presentations, reports, and statistics based on information compiled from various sources on a regular basis.
  • Displays a working knowledge of the company’s product/service + mission critical goals and assists with the implementation of systems/ process that the company needs to operate effectively and achieve optimal success.
  • Work as a collaborative team member with peers to help level-load work; take initiative to understand the unspoken need and deliver proactive customer service

Qualifications

Experience and Skill Required

  • Advanced working knowledge of Microsoft Office Suite (i.e. PowerPoint, Word, Excel, and shared collaborative tools such as SharePoint and OneDrive for Office 365) with comfort of use and integration of mobile technology platforms.
  • A “Self-starter” mindset that takes initiative to continuously improve processes for ongoing effectiveness of the leadership team and company.
  • Expertise at organizing complex domestic and international travel, with experience processing travel visas.
  • Experience with procurement, budgeting and/or project management software tools.
  • Strong communication skills, verbal and written.
  • 5+ years of progressively responsible and successful Executive Assistant experience in dynamic, high growth environments
  • Bachelor of Arts or Science in Business Administration strongly preferred; or 2 year associate’s degree with at least 10 years of relevant work experience
