We are looking for Business coordinator and Executive Assistant to undertake a variety of executive & field administrative duties and manage our day-to -day virtual and physical office related activities & projects. The ideal candidate will have abroad knowledge of general administrative responsibilities. She / he will be able to work autonomously, and in collaboration with other teams, ensuring the end-to-end running of projects and operations.

  • Respond to internal and external admin/executive assistant related inquiries or requests and provide help
  • Perform general administrative office duties: Ordering stationery, office supplies, equipment and keep the office running
  • Help manage the calendar of the CEO, expenses reporting as needed
  • Support the Executive and field team (scheduling meetings, trips, sign them to events/conferences)
  • Mailing, shipping & general errands – visiting USPS every week and collecting company related mails, sharing mails with appropriate teams.
  • Coordinate with IT department on all office equipment
  • Assist in ad-hoc projects, like employees’ events, marketing campaign, employee engagement activities etc.
  • Liaise & support other departments or functions (such payroll, finance, marketing, etc.)in any ad-hoc projects as assigned
  • Support the recruitment/hiring process by scheduling and coordinating interview loops
  • Schedule online or in-person employee engagement meetings like US/All Hands, interviews, HR events, and maintain the team’s agenda
  • Assist in employee orientations, onboarding & offboarding related activities
  • Assist & Manage in the annual benefit enrolment process

Qualifications

  • Recent college graduates or proven experience in an administrative position for at least 2 years would be an added advantage
  • Strong communication, customer service skills and cross collaboration
  • Strong ability in using MS Office (MS Outlook, MS Teams, MS Excel and MS PowerPoint)
  • Good organizational and time management skills
  • Ability to multi-task in a fast pace environment
