This is a customer service and support position that requires excellent organizational and communication skills. Must always present themselves in a polite and professional manner. Must have the ability to follow instructions and be proficient in the English language. Must have general office skills and be proficient in the use of computers (Word Processing/Spread Sheet/Email), copiers, fax machines, and others. Must possess the ability to utilize other office equipment as required.

The satisfaction of the client and the key for client retention is to provide outstanding customer service, including following up on all assignments in a timely manner and following company procedures.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

Reports directly to the Assistant General Manager (AGM).

Assists in tracking maintenance issues by making appropriate notations regarding work accomplished, date completed, and the cost to the association. Makes recommendations to the AGM and General Manager (GM) regarding any outstanding or unresolved issues.

Prepares community notices, meeting signs and posts messages on the digital sign as directed and when necessary.

Assists in maintaining the office in a clean and professional manner – arranges for meetings as required.

Orders supplies within operational and budgetary guidelines.

Prepares standard correspondence by typing, emailing, faxing, and proofreading and ensures proper processing (mailing, appropriate filing, and distribution).

Notifies Corporate Management Assistant when address & ownership changes in the database.

Notifies Corporate Management Assistant when updates to the Board list.

Prepares for Monthly, Annual, Committee, Board and Membership meetings.

Working through the GM, provides Board and Committee support as directed.

Assists in preparing newsletter as directed.

Maintains community files, electronic as well as paper files.

Handles calls from Unit Owners, Residents, and Contractors and ensures a positive customer service experience and follow-up.

Screen calls, forward to appropriate staff member.

Accepts and enters requests from owners.

Receives, prepares, and processes assessments

Book conference rooms under the association guidelines

Maintain and update Website and Facebook as needed

Move in reports

Other tasks and assignments as needed

Requirements:

Bachelor’s Degree and/or 2+ Years’ experience supporting onsite properties

Strong Administrative, Time Management and Customer Service skills

Excellent Knowledge of Microsoft Suite (Outlook, Excel, Word)

Prior use of Jenark, Condo Cert a plus
