- Conduct administrative duties
- Define and enforce office procedures
- Create and maintain a pleasant work environment
- Ensure high levels of communication.
- Manage, coordinate and plan essential services such as security, maintenance, mail, incoming parcels, cleaning, parking, waste disposal and recycling
- Welcome visitors & answer the phone
- Supervise and control the work of contractors such as cleaning companies, etc.
- Manage good relationship with landlord and facility management company
- Purchase office supplies - maintain proper stock levels
- Participate in the onboarding process of new joiners
- Support team in the organization of various external events such as meetings, travel plans, etc
- Support team in dealing with worldwide company purchases & expenses process
- Support other team members during leave & holidays
- Between 2 & 5 years of experience in hospitality, facility or office management
- Strong communications and listening skills (receiving and giving feedback as well as sharing knowledge)
- Open-minded and willing to work in a team-based environment
- Proactive, service & solution-oriented
- Ability to multi-task, organized & attentive to details
- Flexible, easy-going & calm
- Proficient in English written and spoken
