About the Position

We have an exciting new opportunity as the Events & Special Projects Coordinator at our Administrative Office in Medford, Oregon. This position is responsible for event planning and coordination, including developing budgets and proposals, for company conferences, retreats, and open houses, as well as regional, and company-wide specials events for both staff and clients. The Events & Special Projects Coordinator will facilitate event planning committees, including recruiting committee members, coordinating meetings, gathering feedback and input, and using diverse perspectives to plan events consistent with ColumbiaCare culture. This position coordinates with program and department leadership to ensure staff and clients’ interests are represented in events. Special Projects include being responsible for purchasing all furnishings and decorations for our Administrative Offices, Outpatient Clinics, and various Residential and Supportive Housing Programs, as well as providing support in the furnishing and design of new programs. Candidate will need to have an understanding and awareness of Diversity, Equity and Inclusion, and be able to assist with carrying out organizational goals in this area. Traveling between various ColumbiaCare facilities is required for this position.

Work Schedule: Typically, Monday – Friday, 8:00am-5:00pm with schedule flexibility as needed

Qualifications

The ideal candidate will have a strong attention to detail; be a problem-solver, be able to think globally; have a positive and professional demeanor, be highly organized, and be a self-starter with a demonstrated ability to learn quickly and take on multi-faceted projects.

MUST meet the following criteria:

a) Bachelor’s degree in Business, Marketing/Communications or related field;

b) OR minimum FOUR YEARS Administrative or Event Planning experience;

c) OR equivalent combination of education, training and relevant experience that demonstrates the ability to perform the duties of the position

Additional Qualifications:

Establish and maintain effective relationships with fellow ColumbiaCare employees, as well as vendors, agencies and other community professionals;

Demonstrate flexibility adapting to program changes;

Problem solve complex issues by developing alternatives and solutions;

Excellent verbal and written communication skills along with a best practices mind set;

Ability to deal with multiple project deadlines and overlapping responsibilities;

Attention to detail and strong organizational and multi-tasking skills are essential;

Administrative office experience including good working knowledge of Apple products and MS Office (Outlook, Word, Excel, PowerPoint)

Successful applicants MUST also have a valid Oregon driver’s license, maintain a safe driving record, and the ability to pass a DHS criminal background check.

Salary & Benefits

Starting at $3,500 per month/DOE. This is a salary exempt position. ColumbiaCare offers a comprehensive benefits package for full-time employees, which includes: medical, dental, and vision coverage; a wellness reimbursement program; substantial sick and vacation accruals (12 days per year each); once eligible, nine (9) paid holidays, and a 403(b) plan with a generous 6% company match immediately vested.
